Operations & Executive Support Coordinator (Part-Time) Remote (Open to Latin America – Ecuador, Colombia, Argentina, Mexico encouraged) $14–$22 USD per hour | 20–30 hours per week About the Role We are hiring a reliable Operations & Executive Support Coordinator to support the CEO and leadership team across multiple growing brands in the salon, wellness, and education space. This is a hands-on coordination role. You will keep priorities organized, track commitments, manage logistics, and ensure work moves to completion. You must be comfortable operating independently and closing loops without constant supervision. This role begins part-time. Long-term scope may grow based on performance and reliability. What You Will Own - Calendar and meeting coordination. - Task tracking and deadline follow-through. - Document preparation and meeting notes. - Digital file and system organization. - Cross-team coordination support. - Basic reporting and information gathering. - Clear communication and status updates. Success is measured by reliability, accuracy, follow-through, and the ability to reduce friction for leadership. Key Responsibilities Executive & Administrative Support - Manage scheduling and logistics. - Prepare agendas, notes, and summaries. - Track action items through completion. - Maintain organized shared documents and files. Operations Coordination - Translate leadership priorities into clear next steps. - Follow up with team members to ensure progress. - Identify gaps or missed details early. - Keep projects moving when direction is incomplete. Communication - Provide clear weekly updates. - Communicate professionally with internal and external partners. - Represent the brand with clarity and consistency. Required Skills - Strong organization and time management. - High personal accountability. - Google Docs and Google Sheets proficiency. - Comfortable using AI tools to increase efficiency. - Clear written and verbal English communication. - Ability to manage shifting priorities. - Ability to work independently in a remote environment. Ideal Experience - Administrative assistant or executive assistant experience. - Project coordination experience. - Experience supporting senior leadership. - Experience tracking tasks across multiple projects.
