Tenant communication: * Contact tenants upon receipt of work orders to confirm acknowledgment and outline next steps. * Provide regular updates until resolution. * Follow up after completion to confirm satisfaction. * Respond promptly to tenant calls, emails, and Slack messages. * Maintain detailed documentation of all tenant interactions in AppFolio. Maintenance and vendor coordination: * Coordinate daily with maintenance staff and vendors on assigned tasks. * Ensure maintenance teams have required supplies and materials. * Schedule vendor appointments as needed. * Assist with coordination of unit turnovers for move-ins and move-outs. Move-in and move-out coordination: * Send move-in welcome notices and collect feedback. * Send move-out instructions and reminders five days prior to departure. * Coordinate repairs, turnovers, and schedules with maintenance teams and contractors. * Identify and flag urgent or overnight turnover requirements. Monthly administrative tasks: * Follow up on lease renewals and document tenant intentions. * Review legal status reports and escalate issues as needed. * Monitor arrears and rent collection, contact tenants, and document disputes. Reporting and communication: * Submit weekly reports summarizing work orders, tenant communications, vendor coordination, and unresolved issues. * Maintain open communication through Slack and email, ensuring timely responses. * Participate in weekly operational meetings and monthly performance reviews. Requirements: * Proven property management experience. * Experience using property management software such as AppFolio. * Ability to manage multiple priorities in a fast-paced environment. * Strong attention to detail and consistent documentation practices.
