About the Role: - The Tenant Coordinator ensures tenants have a smooth and well-managed experience from application to move-out. - This role is central to delivering exceptional service while coordinating operational tasks using LeadSimple as the primary workflow engine and Rent Manager as the documentation hub. - Working across departments, the Tenant Coordinator keeps processes moving, information accurate, and tenants informed. Core Responsibilities: 🏠 Move-In and Move-out Coordination: - Manage the move-in & move-out checklist and workflow through LeadSimple. - Confirm forwarding address, confirm key access, and handle utility information. - Upload all finalized documents to Rent Manager. - Ensure a seamless handoff to the tenant with clear instructions and timely communication. 📋 Application Processing & Lease Approvals: - Process rental applications: collect documents, run screenings, verify income. - Communicate decisions with applicants and internal teams. - Ensure signed leases and deposits are logged and stored in Rent Manager. 🔁 Lease Renewals: - Monitor upcoming lease expirations and coordinate renewal approvals with owners. - Send CMA reports and proposed terms. - Issue lease renewal offers via LeadSimple and collect responses. - Finalize leases and ensure they are uploaded to Rent Manager. 📬 HOA Management: - Facilitate tenant registrations with HOAs. - Submit applications, provide community rules, process HOA violations, and track approvals. - Communicate HOA requirements clearly with tenants. 🌟 Tenant Experience & Communication: - Respond to tenant inquiries unrelated to maintenance. - Use LeadSimple for consistent follow-up and task management. - Communicate professionally via Slack and Gmail. - Escalate concerns and flag issues as needed for team resolution. 📋Systems & Tools You’ll Use: - LeadSimple – primary tool for tenant workflows, task tracking, and communication. - Rent Manager – document repository, lease data, and financial records. - Boom – Application processing tool. - Nutiliti App – to check and verify active utilities. - Meld App – to check and review maintenance work order. - Ring Central – Calling tool. - Google Workspace – email, calendar, and shared files. - Slack – internal communication and collaboration. - Calendly – scheduling tenant appointments and meetings. - Zapier – process automation and task syncing. - Rent Engine – listing and showing coordination. - Rent Check – to check inspection reports. - RMC Calculator – tool to compute the income of military applicants. - Adobe signature – Send documents for property manager to sign (ex.HOA forms). 🌟 Reporting & Collaboration: - Reports to: Head of Property Management. - Collaborates with: Leasing Coordinators, Maintenance Dispatcher, Inspectors, Portfolio Managers, and Admin Support. 🔁Success Indicators: - Tenants are onboarded and offboarded on time with clear communication. - All documents are accurately stored in Rent Manager. - Internal teams stay in sync through LeadSimple workflows. - Tenants report positive interactions and smooth processes. - Issues are proactively flagged and resolved without escalation delays. 📋 KPI: - Tenant ART Email (hours). - TC Leases Signed.
