Built on a culture of operational precision, creative storytelling, and community engagement, the organization relies on tight logistics and proactive marketing to deliver seamless tours. In this versatile role, you will bring structure to moving operations—managing marketing distributions, venue logistics, contract administration, and media outreach to keep every tour running smoothly. Key Responsibilities – Coordinate mailing distributions and track promotional campaign performance. – Research touring locations, compile site data, and assist with bookings. – Manage permit applications, track approvals, and maintain compliance files. – Organize site contracts, contractor agreements, and trucking logistics files. – Handle executive assistance, inbox management, and daily operational support. – Conduct media outreach, cold call stations, coordinate press releases, and schedule social posts. Must-Have Requirements – Demonstrated ability to organize complex information, manage competing priorities, and work independently without constant supervision. – Strong written and verbal English communication skills for professional correspondence and media outreach. – High digital proficiency and comfort working on computers for extended daily periods. – Exceptional attention to detail regarding legal contracts, permit paperwork, and multi-step logistical processes. Nice-to-Have Requirements – Bilingual proficiency in English and Italian. – Prior experience in event coordination, live show logistics, or basic bookkeeping and expense tracking. – Background in social media content scheduling, marketing coordination, or project management. – Knowledge or experience in grant writing and sponsor solicitation.
