Requirements and responsibilities


We are hiring a reliable, detail-oriented bookkeeper based in Latin America to manage bookkeeping across multiple small US-based entities. This role requires someone who can maintain clean, accurate books, perform reconciliations consistently, and proactively flag issues. We are transitioning from a prior bookkeeper and need someone who can both clean up existing books and maintain them going forward. Work Scope: - Manage bookkeeping across 5 small US-based entities. - Total transaction volume is low (under 200-300 transactions/month across all entities combined). - Initial cleanup required, followed by ongoing monthly maintenance. Responsibilities: - Maintain books in QuickBooks Online. - Perform monthly bank and credit card reconciliations. - Clean up and correctly categorize transactions. - Fix and simplify chart of accounts where needed. - Clear and resolve holding/suspense accounts. Accounts Payable (AP) Management: - Enter bills. - Prepare payments (no approval authority). Accounts Receivable (AR) Management: - Track invoices. - Monitor collections. - Ensure Stripe, PayPal, and other accounts are properly reconciled. Reporting: - Generate monthly reports: - Profit & Loss. - Balance Sheet. - Assist with CPA / year-end prep. Payments & Vendor Coordination: - Prepare and organize payments using tools such as Melio and Wise. - Work with vendors paid via: - ACH. - Zelle. - PayPal. - Venmo. - International transfers. - Ensure payments are properly recorded and categorized. - Maintain clear documentation of all payment activity. Accounts Receivable Follow-Up: - Monitor outstanding invoices and payment plans. - Track payment status and update records accordingly. - Experience communicating with customers regarding overdue payments in a professional and respectful manner is a plus. - Escalate issues to the business owner when needed. Important: Payment Controls: - This is a non-approval role. - You will prepare and organize payments only. - The business owner will review and approve all payments. - You will not have authority to send payments independently. Financial Tracking & Insights (Preferred): - Track expected monthly income (including payment plans). - Monitor basic cash flow across entities. - Provide visibility into runway for key business units. - Flag inconsistencies or potential issues. Business Context: - The business includes: - Portfolio of ~13 mid-term rental properties (Philadelphia) (2 entities). - Training / education program. - Retreats business. - Medical clinic (Philadelphia). - Ability to manage multiple revenue streams is important. Requirements: - 3+ years bookkeeping experience (US-based businesses preferred). - Strong experience with QuickBooks Online. - Experience with: Bank and credit card reconciliation, Stripe / PayPal / payment processors. - Experience cleaning up messy books. - Strong attention to detail. - Fluent English. - Reliable and proactive communicator. Nice to Have: - Multi-entity experience. - Property management / hospitality experience. - Familiarity with tools like Stripe, Melio, Wise. - Experience working with international contractors and multi-currency payments. Important Notes: - Owner retains full control of all financial accounts and approvals. - Accuracy, organization, and consistency are critical. - Strong communication and reliability are essential.
