Requirements and responsibilities


We are seeking an experienced Virtual Assistant to support a chiropractic office with patient intake, medical documentation, workers’ compensation cases, and insurance-related workflows. This role requires prior experience working in a chiropractic, medical, or personal injury environment where you handled medical records, insurance information, and patient histories. The assistant will gather patient information using structured scripts, review medical documents (including MRIs and reports), and accurately enter information into charts and practice software. The role also involves working with information generated from AI software and transferring key details into patient records. Training will be provided on the clinic’s specific workflow, but candidates must already have experience working with medical documentation and insurance processes in a U.S. healthcare or legal support setting. Responsibilities: - Collect patient histories before appointments using structured scripts. - Review and organize medical records including MRI reports and related documents. - Upload and properly categorize records within patient charts or EMR. - Work with AI-generated clinical information and transfer relevant details into charts. - Prepare charts prior to patient visits. - Follow up with patients regarding missing information or documentation. - Request medical records from imaging centers or other providers when needed. - Communicate professionally with patients via phone, email, or messaging. - Maintain organized and accurate patient records. - Assist front office workflow as needed. Requirements: - Prior experience working in a chiropractic office or supporting chiropractic providers. - Experience handling workers’ compensation cases or documentation. - Experience working with U.S. insurance processes related to injury treatment. - Experience with commercial insurance (BCBS, Aetna, UnitedHealthcare, Cigna, etc.). - Understanding of medical billing concepts (ICD-10, CPT, EOBs, superbills). - Experience collecting patient history information or performing intake. - Strong understanding of medical terminology. - Strong attention to detail and accuracy. - Professional English communication skills. - Reliable internet connection and quiet work environment.
