Medical Virtual Assistant (Dental) Shift: Initially 7:30 AM – 1:30 PM EST | 30 hrs/week. Potential to expand to full-time. The clinic operates on a dynamic, patient-first model that prioritizes professional boundaries and efficient scheduling. The doctor is looking for a proactive, sharp, and highly professional VA. Tasks & Responsibilities The Virtual Medical Assistant will be responsible for managing the front-end patient experience and administrative workflow: - Scheduling Appointments - New leads from Marketing efforts - Existing patients - Maintaining the clinic’s schedule and strictly enforcing the "48-hour business hour" confirmation protocol. - Insurance Coordination: Collecting patient insurance information and verifying network status. - Triage & Communication: Filtering incoming calls and emails, directing urgent matters to the front office team while handling routine scheduling. - Patient Retention: Conducting outbound "outreach" to reschedule missed appointments or follow up on treatment plans (e.g., bringing patients back for crowns). - Voicemail Management: Promptly checking and responding to voicemail messages to prevent negative patient reviews. - Performance Tracking: Tracking daily metrics including inbound calls, appointments scheduled, and actual show-up rates. Mandatory Requirements - Experience: Minimum of 1+ years supporting a US-based medical or dental clinic. - Language Proficiency and Comprehension. - Soft Skills: Exceptional interpersonal skills, professional demeanor, and the ability to hold firm on clinic policies and boundaries. - Technical Literacy: Ability to learn and navigate practice management software quickly. - Hardware: A high-performance computer (minimum i5 processor) with reliable high-speed internet. - Availability: Willingness to work Eastern Standard Time (EST) and maintain productivity throughout the shift. Nice-to-Haves - Dental Specific Experience: Prior experience with dental terminology and procedures (e.g., crowns, exams). - Critical Thinking: A proactive problem-solver who can build or improve Standard Operating Procedures (SOPs). Tools & Systems Used - Practice Management: Open Dental (Primary), Dentrix (Secondary/Familiarity). - Communication: Mango Voice (VOIP), Modento. - Productivity & Security: Time Doctor (for productivity tracking), ExpressVPN (HIPAA-aligned secure network).
