We are seeking a tech-savvy, proactive Project & Operations Assistant to support our leadership team with internal operations, VA management, and project execution. Unlike our client-facing roles, this position is focused on internal support: keeping projects organized, managing virtual assistants, maintaining documentation, and reducing the administrative workload of leadership.
The ideal candidate is resourceful, detail-oriented, and eager to learn. They’ll play a crucial role in helping Valgorithm scale by ensuring systems, people, and processes run smoothly.
Responsibilities:
* Internal Project Support:
- Assist in executing low-complexity project tasks (e.g., updating forms, testing automations, maintaining trackers).
- Keep internal tools, SOPs, and company handbooks updated and organized.
- Support with system implementations and documentation (Google Workspace, Notion, Hubstaff, etc.).
- Research and recommend tools/AI solutions to improve internal efficiency.
* VA Recruitment & Management:
- Post job descriptions, screen candidates, schedule interviews, and support onboarding.
- Manage VA pipeline and track progress from recruitment to integration.
- Conduct timesheet checks, invoice reviews, and performance follow-ups.
- Act as a first line of support for VAs, escalating only when needed.
* Executive & Administrative Support:
- Assist with travel arrangements, scheduling, and internal administrative needs.
- Track internal tasks, deadlines, and deliverables to ensure follow-through.
- Prepare internal reports, checklists, and updates for leadership.
Requirements:
* 1+ year of experience in project coordination or administrative support.
* Strong organizational and time management skills.
* Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar).
* Comfortable with project management tools.
* Tech savvy: ability to quickly learn new tools, manage automations, and apply AI-powered solutions.
* Strong written and verbal communication in English.
* Proactive problem-solver who takes initiative and ownership.
* Dedicated Computer: A personal computer (not shared with family members) with a minimum of 8GB RAM, updated security patches, and antivirus software.
* Primary Internet Connection: A reliable internet connection with at least 20 Mbps download and 10 Mbps upload speed.
* Backup Internet Connection: A secondary internet option like pocket wifi, prepaid modem, or mobile data plan.
* Quiet Workspace: A consistently quiet workspace free from background noise.
* Licensed Operating System: A licensed Windows 10 or higher operating system for Windows PCs and laptops, or MAC OS X v10.15.5 or higher for Mac devices.
