We are seeking a highly skilled and detail-oriented Legal Executive Assistant to support a U.S.-based legal practice handling Child Protective Act (CPAct) cases, matters involving minors, custody disputes, and other family law cases. This role requires exceptional professionalism, discretion, and the ability to work efficiently in a fast-paced and sensitive legal environment. You will work closely with the Managing Attorney to provide administrative support, case coordination, and client communication—ensuring smooth daily operations and timely case progression. Key Responsibilities - Manage the attorney’s calendar, schedule hearings, client meetings, and case-related appointments. - Organize emails, documents, and correspondence; ensure the attorney is prepared for daily priorities. - Maintain accurate digital filing systems, ensuring documents are properly named, stored, and accessible. - Prepare, edit, and proofread legal documents, letters, and reports. - Conduct basic legal research and gather information requested by the attorney. - Track deadlines, court dates, and case milestones to ensure timely submissions. - Coordinate with court personnel, social workers, and other agencies as needed for CPAct and family law cases. - Coordinate with Offshore Attorneys regarding scheduling, review, and approval of the Managing Attorney. - Serve as a professional and compassionate point of contact for clients. - Screen calls, respond to routine inquiries, and relay messages promptly. - Assist with intake, follow-up, and client updates while maintaining strict confidentiality. - Assist with timekeeping, billing entry, and expense tracking as needed. - Help streamline processes and improve administrative workflows. - Perform other related tasks to support the efficiency of the legal practice. Qualifications - Minimum 2+ years of experience as a Legal Assistant, Executive Assistant in a legal setting, or similar role. - Prior experience with family law, CPAct cases, or child-related legal matters is a strong advantage. - Strong knowledge of U.S. legal terminology, document types, and court procedures. - Excellent written and verbal English communication skills. - Strong organizational skills with exceptional attention to detail and follow-through. - Ability to manage sensitive information with the highest level of confidentiality and professionalism. - Tech-savvy: proficient with Microsoft Office, Clio, PDF tools, case management tools, and virtual communication platforms. - Comfortable working remotely with stable internet and reliable backup systems. Preferred Skills - Experience using legal practice management software (e.g., Clio, MyCase, Smokeball). - Ability to work independently with minimal supervision. - Strong interpersonal skills and the ability to work with clients experiencing emotional or stressful situations. - Familiarity with U.S. Pacific Time operations.
