Our portfolio spans brand strategy, marketing, advertising, PR, and international business development across New York City, Las Vegas, Hollywood, and Asia. We work with high-profile clients, high-stakes timelines, and a standard that doesn’t apologize for being elevated. We are not looking for a traditional calendar manager. We are looking for a high-agency Operations Lead who thinks in systems, builds automations, and genuinely understands that in this industry, speed and precision are the strategy. This role is part of a 24/7 administrative team that keeps GAB operating across time zones. You will take a dedicated shift within a coordinated structure, handing off and picking up seamlessly so nothing falls through. This role is for you if: You are a systems architect. You don't just use AI; you build with it. You are comfortable inside Make.com, Zapier, and API integrations. When a webhook fails, you know how to troubleshoot it. You are relentlessly resourceful. If asked to find a same-day service in a city you've never visited, you don't just send a Google link—you call, confirm pricing, check cutoff times, and present a finalized plan. You thrive in complexity. You can manage a two-tier project management system (Asana), bridge communication across different tech ecosystems (Slack, WeCom, WeChat), and keep a Google Drive impeccably organized. You have high agency. You don't wait for permission to solve a problem. You anticipate friction and remove it before it reaches the CEO's desk. What you’ll actually do:Serve as the operational anchor for a founder-led company running multiple high-visibility accounts simultaneously. You will manage the technical and administrative infrastructure that lets the creative work shine. Specifically: Automation & Tech Stack Management: Build and maintain workflows (e.g., Make.com, WATI, ManyChat). Manage credentials and access via 1Password across dozens of platforms. Cross-Cultural Project Management: Maintain our Asana architecture, ensuring seamless task handoffs between our US and China teams. Manage file transfers and asset organization across firewalls. Rapid-Fire Execution: Conduct deep-dive research on prospects minutes before a call. Source and secure local services or logistics solutions on the fly. HR & Recruitment Ops: Manage international job postings (Torre.ai, Indeed, Latin American boards). Draft NDAs, coordinate offer letters, and run end-to-end onboarding for new hires and freelancers. Executive Triage: Manage the CEO's inbox using the Dan Martell system, route Zoom recordings based on client type, and handle vendor disputes or urgent contract revisions. Social & Brand Infrastructure: Manage the backend of our social presence—registering handles, securing accounts, and ensuring assets are prepped for campaign reports. What you bring: Technical Fluency: Deep experience with automation platforms (Make.com/Zapier), advanced AI prompting (Claude, ChatGPT, Manus), and complex project management tools (Asana). Operational Rigor: A proven track record of building SOPs, organizing messy data, and managing multi-step processes without dropping the ball. Global Competence: Comfort working in a multi-cultural environment. (Familiarity with the China tech ecosystem—WeChat, WeCom—is a massive plus, but not strictly required if you are a fast learner). High-Level Communication: Strong written communication with a sharp eye for tone, detail, and discretion. You know how to write an email that gets a response. What this isn’t:A role for someone who needs a lot of hand-holding, works at one speed, or treats “that’s not my job” as a complete sentence. GAB operates across New York, Las Vegas, Europe, and Asia. This is a fully remote role.
