We are seeking a Legal Intake Coordinator to support a U.S.-based personal injury law firm. This role is responsible for handling incoming calls, speaking with potential clients, gathering case information, documenting details accurately, and helping guide clients through the intake process professionally and compassionately.
This is a remote contract position and some training will be provided, however you still need 1 year of experience in this role.
Responsibilities:
- Handle inbound and outbound calls for potential personal injury clients.
- Gather detailed information related to accidents, injuries, medical treatment, insurance, and case circumstances.
- Accurately document intake information in the law firm's CRM or case management system.
- Determine whether potential cases meet the firm's intake criteria based on provided guidelines.
- Schedule consultations and follow up with leads as needed.
- Communicate professionally and empathetically with injured clients.
- Maintain confidentiality and handle sensitive information appropriately.
- Coordinate with attorneys and legal staff regarding new potential cases.
- Follow up with potential clients who have not completed the intake process.
- Maintain organized and accurate records of all communications.
Requirements:
- Minimum 1 year of experience working for a U.S. personal injury law firm.
- Previous experience in legal intake, client intake, or personal injury case screening.
- Strong English communication skills, both written and verbal.
- Medical terminology knowledge is required.
- Ability to understand and discuss injuries, treatment types, surgeries, medical providers, and accident-related medical documentation.
- Familiarity with personal injury case flow, including treatment, insurance claims, and client communications.
- Experience handling personal injury, auto accident, workers' compensation, or pre-litigation intake.
- Strong attention to detail and documentation skills.
- Ability to multitask and manage a high volume of calls and follow-ups.
- Experience using CRMs, case management software, or intake systems such as Filevine, Litify, Clio, SmartAdvocate, or similar platforms.
- Reliable computer, headset, high-speed internet connection, and quiet work environment.
