Executive Assistant
Location: LATAM; Mexico, Colombia, or Argentina preferred

Overview
We're looking for a proactive Executive Assistant to become the right hand to a growing business owner in the construction industry. This role goes far beyond calendar management—you'll help keep projects moving, improve communication, and ensure day-to-day operations run smoothly.
You'll work closely with clients, subcontractors, architects, engineers, and internal teams, helping coordinate schedules, manage priorities, and support business growth. Key Responsibilities
Manage complex calendars, meetings, and scheduling across multiple stakeholders.
Coordinate project timelines and subcontractor availability to keep projects on track.
Monitor and respond promptly to emails, phone calls, and client inquiries.
Attend virtual meetings, document key decisions, and track action items.
Organize contracts, project documentation, CRM records, and administrative files.
Track project milestones and follow up on outstanding tasks.
Identify process improvements and recommend tools or workflows that increase efficiency.
Support the executive with day-to-day operational and administrative priorities.
Requirements
5+ years of experience as an Executive Assistant, Project Coordinator, or in a similar administrative support role.
Experience supporting executives in fast-paced, project-driven environments.
Professional fluency in both English and Spanish (written and spoken).
Strong calendar management and stakeholder coordination skills.
Understanding of project timelines, scheduling, and operational priorities.
Experience using CRM platforms, Google Workspace, Microsoft Office, and scheduling tools.
Strong written and verbal communication skills with exceptional attention to detail.
Ability to work full-time or part-time while aligning with U.S. Pacific Time.
Nice to Have
Experience supporting U.S.-based construction, contracting, or real estate companies.
Experience working with founders, business owners, or C-level executives.
Familiarity with construction or project management platforms.
Experience coordinating architects, subcontractors, homeowners, and other external stakeholders.
Knowledge of HubSpot or similar CRM systems.
