Position Summary:
- We are seeking a Bilingual Medical Virtual Assistant / Live Medical Scribe to support an endocrinology clinic serving English- and Spanish-speaking patients.
- This is primarily a non-clinical healthcare support role, but the successful candidate must be comfortable working in a medical environment and understand medical terminology, documentation, and clinic workflows.
- The role combines live medical scribing, chart preparation, lab order support, prior authorizations, referral authorizations, bilingual patient assistance, and administrative coverage.
- Candidates do not need to be licensed healthcare professionals such as Registered Nurses, Medical Assistants, Licensed Vocational Nurses, Nurse Practitioners, or physicians.
- A formal clinical background is optional.
- Previous medical scribe or healthcare support experience is preferred because the role requires the assistant to understand provider discussions and accurately document information during patient visits.
Key Responsibilities: Live Medical Scribing and Documentation:
- Attend telemedicine visits and document the provider-patient discussion accurately in the electronic medical record.
- Enter relevant information such as the patient’s main concern, medical history, medications, diagnoses, treatment plans, and provider instructions.
- Complete documentation promptly and move finished charts through the clinic’s established review and completion workflow.
Key Responsibilities: Chart Preparation and Visit Support:
- Prepare patient charts before appointments by reviewing previous notes, medications, laboratory results, referrals, and relevant medical history.
- Identify missing information, pending results, incomplete documents, or authorization concerns that may affect the upcoming visit.
- Communicate important chart updates or outstanding tasks to the provider and clinic team before the appointment.
Key Responsibilities: Laboratory and Authorization Workflows:
- Enter laboratory orders, select the appropriate laboratory facility, and connect orders with the correct diagnosis information based on provider instructions.
- Process prior authorization requests for medications, procedures, or services and follow up with insurance companies when additional information is required.
- Apply for referral authorizations when needed and ensure all required documents are completed before closing the chart.
Key Responsibilities: Bilingual Patient and Provider Support:
- Translate between English and Spanish during patient interactions, telemedicine visits, phone calls, and follow-up communications.
- Clearly communicate provider instructions, appointment information, authorization updates, and next steps to Spanish-speaking patients.
- Maintain professionalism, accuracy, and patient confidentiality when communicating medical information in either language.
Key Responsibilities: Patient Coordination and Administrative Support:
- Assist with patient scheduling, follow-up appointments, referral coordination, laboratory instructions, and general patient inquiries.
- Handle phone responsibilities when not actively scribing, including an average of approximately 40 calls per day when coverage is needed.
- Provide backup administrative support and keep the clinic team informed regarding urgent concerns, incomplete tasks, and patient follow-ups.
Required Qualifications:
- Fluent in spoken and written English and Spanish, with the ability to translate medical conversations accurately.
- Comfortable listening to provider-patient discussions and typing clear, concise, and accurate clinical notes.
- Familiarity with medical terminology, patient charts, medications, laboratory workflows, referrals, and insurance-related processes.
- Strong computer skills and the ability to learn clinic-specific systems and workflows.
- Excellent attention to detail, organization, communication, and time-management skills.
- Comfortable handling both live medical scribing and phone-based patient coordination responsibilities.
Preferred Experience:
- At least six months of medical scribe experience is preferred.
- Previous experience as a Medical Virtual Assistant, medical scribe, patient coordinator, or healthcare administrative support professional.
- Experience with chart preparation, electronic medical record documentation, laboratory order entry, referrals, or prior authorizations.
- Familiarity with Tebra/Kareo, Epic, RingCentral, Microsoft Teams, or similar healthcare and communication platforms.
- Experience supporting an endocrinology clinic or another medical specialty is an advantage.
Clinical Background:
- A professional clinical license or formal clinical qualification is not required.
- Candidates do not need to be an RN, MA, LVN, NP, physician, or other licensed clinical professional.
- The clinic will provide training on its specific processes, including laboratory order entry and workflow requirements.
- Candidates should already be comfortable with medical terminology, provider discussions, patient documentation, and general healthcare operations.
Schedule:
- Part-time position requiring approximately 30 hours per week.
- Work hours are generally aligned with the clinic’s schedule from Monday through Thursday.
- The exact schedule may vary depending on patient appointments, training, provider availability, and clinic coverage needs.
Equipment and Technology Requirements:
- A reliable computer with a stable high-speed internet connection.
- A backup internet connection and backup power source are strongly preferred.
- A quiet, private, and professional workspace suitable for patient-facing healthcare support.
- Microsoft Teams will be used for non-EMR communication, and the clinic will provide the necessary account.
