We are hiring a candidate with strong clinical experience to serve as a bilingual medical virtual assistant supporting a U.S. rheumatology practice. This role is primarily focused on medical billing (70%), with the remaining time dedicated to appointment scheduling and balance collection. The position requires strong clinical judgment, clear communication, and the ability to work efficiently in a fast-paced clinic environment without constant supervision. What success looks like. You will be successful if you consistently: * Switch smoothly between billing tasks and live administrative needs while maintaining follow-through. * Remain active in team chat and proactively take ownership of tasks. * Communicate concise and direct updates, both written and verbal. * Translate accurately and safely, escalating clinical questions when needed. * Protect the patient experience through professionalism, accuracy, and proper documentation. Key responsibilities. Medical billing (primary): * Support the billing workflow, including claim preparation, basic coding support, payment posting, and claim status checks. * Assist in correcting and resubmitting denied or rejected claims with guidance from the main biller. * Perform insurance verification and eligibility checks related to billing needs. * Provide reliable billing coverage during the main biller’s PTO by following established processes. * Maintain accurate documentation in alignment with HIPAA and BAA standards. Administrative and front office support (as needed): * Handle inbound and outbound calls in English and Spanish. * Support appointment scheduling, confirmations, cancellations, and rescheduling. * Assist with prior authorization coordination and insurance-related follow-ups. * Manage patient messages, email handling, routing, and follow-up tasks. * Collaborate with office staff and other virtual assistants to keep workflows organized. Required qualifications: * Strong clinical background. * Strong written and spoken communication skills in English and Spanish. * Experience working in a clinical setting and coordinating patient care workflows. * Experience supporting medical billing processes, including claims, denials, eligibility, payment posting, and follow-ups. * Ability to multitask effectively in a fast-paced clinic environment. * Comfort working remotely with stable internet, a professional workspace, and HIPAA readiness. Preferred qualifications: * Experience in a specialty clinic, with rheumatology as a plus. * Experience with U.S. insurance workflows and prior authorizations. * Familiarity with EMR or EHR systems and strong documentation practices, including NexTech EMR. * Experience using Microsoft Teams for communication and RingCentral as a dialer. * Ability to break down tasks into clear steps and improve workflows over time. Work style expectations: * Proactive support without needing repeated prompts. * Clear and direct communication. * Integrity and accuracy in patient notes and documentation. * A patient-first, professional, and safety-focused approach.
