Requirements and responsibilities


Our Client is a fast-growing fuel transport and sales company serving customers across the U.S. The business relies on efficient operations, accurate communication, and quick coordination between clients, drivers, and internal teams. This Executive Assistant / Dispatch Support role combines administrative work, dispatch tasks, and client communication. You will support daily operations, update systems, handle inbound requests, and help keep the team organized. This is a long-term role with a transition from part-time to full-time as responsibilities expand. Key Responsibilities • Support daily dispatch tasks, including coordinating schedules and maintaining communication with drivers. • Enter and update orders, customer details, and internal records. • Manage administrative tasks, emails, reports, and general company organization. • Communicate with clients regarding updates, confirmations, or service needs. • Use Samsara and other internal tools to track deliveries and support operations. • Assist management with follow-ups, reminders, and priority tasks. • Help ensure workflows run smoothly and information is updated on time. • Adapt quickly to changing schedules or urgent updates. Must-Have Qualifications • Strong administrative or operations support experience (2+ years preferred). • Highly tech-savvy and able to learn new systems quickly. • Strong English communication skills (written and spoken). • Experience with scheduling, dispatching, or coordination roles. • Comfortable managing frequent updates, details, and operational changes. • Organized, reliable, and able to work with minimal supervision. • Experience with data entry and accurate record-keeping. Nice-to-Have Qualifications • Experience using Samsara or similar logistics/dispatch tools. • Background in transportation, logistics, or service-based industries. • Spanish fluency for communicating with bilingual teams. • Familiarity with CRM or operations platforms.
