We are seeking a positive, proactive, growth minded and resourceful Virtual Assistant to support our property management operations. This role requires someone who can handle both day-to-day tasks and strategic projects, ensuring that nothing falls through the cracks while helping leadership focus on growth and innovation.
The ideal candidate will be highly organized, a great communicator, comfortable working remotely, and uses Ai regularly. This position requires availability on weekends and weekdays.
Key Responsibilities
-Direct Support
-Work closely with the Director of Asset Management to ensure smooth operations.
-Double-check that all systems, websites, and property listings are up-to-date, accurate, and functioning properly.
-Administrative & Organizational Support
-Update documents, spreadsheets, property management software, trackers, and databases regularly.
-Write up agendas, SOPs, and organize notes into actionable items.
-Upload and manage documents, keeping files structured and accessible.
-Create weekly lesson plans or training outlines as needed for team development.
-Communication & Coordination
-Receive and handle calls/messages on weekends when needed.
-Draft and send professional emails and written communications.
-Make outbound calls for fact-finding, follow-ups, or vendor coordination.
Project & Task Management
-Support ongoing projects, ensuring deadlines are met.
-Research and report back with clear summaries and recommendations.
-Help prioritize and track important tasks to keep leadership on schedule.
Problem Solving & Innovation
-Explore new tools, methods, and solutions to improve workflows.
-Anticipate needs and suggest ways to enhance efficiency.
Qualifications
-Strong written and verbal communication skills.
-Ability to research deeply and summarize findings effectively.
-Experience with spreadsheets, project management tools, and document organization.
-Comfortable with making calls, sending emails, and coordinating with different stakeholders.
-Highly organized, detail-oriented, and able to manage multiple tasks.
-Knows how to operate: Excel, Word, Google, Gmail, Google Drive, Ai tools etc
