This role plays a critical part in transforming existing plans and systems into reliable, repeatable operating rhythms that support growth. Position Overview: We are hiring a Senior Operations & Program Manager to serve as the execution backbone of the organization. This is a senior individual contributor role with high ownership and visibility. You will work closely with founders and the COO to simplify complex operating models, harden execution systems, and ensure plans turn into results. This role is not about greenfield strategy, people management, or product ownership. It is about making the business run better, consistently and at scale. Key Responsibilities: Process Design & Documentation Review, rationalize, and simplify an existing multi-tab operating model. Identify redundancies, gaps, unclear ownership, and broken handoffs. Consolidate scattered logic into a single, reliable source of truth. Translate complex workflows into clear SOPs, playbooks, and process maps. Build and document RACI / RAPID frameworks and governance structures. Document onboarding, matching, collections, exception handling, and escalation paths. Turn tribal knowledge into repeatable, scalable operating systems. Project & Program Management Own an integrated rolling 90-day GTM and operations workplan. Convert existing plans into a maintainable, execution-grade roadmap. Define milestones, owners, dependencies, and critical paths. Manage multiple workstreams with disciplined prioritization. Track progress against baselines; flag risks, constraints, and slippage early. Rebaseline plans as assumptions, priorities, or conditions change. Run weekly execution reviews and stakeholder updates. Performance Management Build and maintain KPI dashboards and operational scorecards. Define leading and lagging indicators for core workflows. Run weekly business reviews with variance and root-cause analysis. Establish control cadences, thresholds, and escalation triggers. Drive corrective actions and continuous improvement initiatives. Coordination & Communication Act as the single source of truth for execution. Coordinate across founders, advisors, contractors, and partners. Work with offshore executive assistants supporting day-to-day administration. (task coordination only; not people management). Manage cross-functional dependencies and escalations. Communicate clearly and concisely at both operator and executive levels. Qualifications: 4+ years of experience in project, program, or operations management. PMP or equivalent senior project management background (strongly preferred). Experience in management consulting, PMO, operations transformation, or high-growth startups. Proven ability to simplify complex systems and make them operational. Strong analytical and systems-thinking skills. Excellent written and spoken English. Comfortable operating in ambiguity and fast-changing environments. Highly accountable, self-directed, and detail-oriented. Nice-to-Haves: Background in management consulting (MBB, Big 4, or top-tier boutique firms). Experience as a Chief of Staff or Strategy & Operations leader. Exposure to marketplaces or B2B sales operations. Familiarity with change management methodologies. Background in operational excellence or process optimization. Prior experience hardening or cleaning up existing operating models.
