Senior Employment Law Intake Paralegal
Schedule:
- Monday–Friday.
- 9:00 AM–5:30 PM PST.
- Remote.
Overview:
- We are looking for an Employment Law Intake Paralegal with hands-on experience in California employment law to oversee case screening, quality control, and intake team performance for a U.S.-based law firm.
- You will review employment-related intakes, evaluate matters against established qualification criteria, identify potential claims and deadline concerns, and prepare clear referral recommendations for attorney review.
- You will also supervise Intake Specialists and help maintain a consistent, high-quality intake process.
Key Responsibilities:
- Review completed intake summaries for accuracy, completeness, and compliance with established intake requirements.
- Evaluate California employment matters against written qualification criteria and disqualifiers, identifying potential claims, weaknesses, and time-sensitive issues.
- Prepare clear written recommendations for attorney review, including factual analysis, identified claims, deadline concerns, and recommended referral partners.
- Coordinate conflict-check information and flag potential matches or concerns for attorney review.
- Manage case progression in HubSpot, maintaining accurate records and following up on referred matters.
- Supervise the daily work of Intake Specialists, including call coverage, response times, documentation, and follow-up.
- Audit intake calls and records, provide actionable feedback, and train new team members on scripts, procedures, documentation standards, and systems.
- Escalate urgent or sensitive matters to the firm, including potential deadline issues, court or opposing-party communications, and intake errors.
Requirements:
- 2–3+ years of paralegal experience.
- Strong working knowledge of California employment claims.
- Ability to evaluate complex fact patterns against established criteria and produce clear, organized written recommendations.
- Full professional fluency in English and Spanish, both written and spoken; proficiency in both languages will be assessed.
- Working proficiency with HubSpot CRM, RingCentral or similar VoIP platforms, and Microsoft Teams.
Preferred Qualifications:
- Previous experience leading, training, or supervising legal intake teams.
- Experience conducting quality audits of intake calls and case records.
- Familiarity with law firm referral workflows and partner-firm coordination.
- Comfort using AI-assisted tools as part of a professional legal workflow.
