Requirements and responsibilities


Location: Remote to start, with an expectation to transition to our future office in Quito. Key Responsibilities - Support day-to-day coordination of projects across multiple teams (SCADA, SOAP, IT, HR, Finance). - Create and maintain project schedules, meeting notes, action items, and task trackers. - Coordinate communication between internal teams and external clients. - Assist with preparing project documentation such as SOWs, POs, onboarding forms, and client templates. - Track project deliverables and follow up with team members to ensure deadlines are met. - Support timesheet collection and validation for client billing. - Gather information for weekly updates, project reports, and progress summaries. - Assist with resource planning, onboarding of new team members, and project logistics. - Maintain organized project files and ensure documentation is up to date. - Schedule meetings, prepare agendas, and manage calendars across multiple time zones. - Identify delays or risks and escalate issues to management as needed. - Ensure compliance with client processes and internal PipeCom procedures. - Perform ad hoc tasks and special assignments as required to support project and operational needs. Qualifications - 2–4 years of experience in project coordination or administrative support. - Bachelor’s degree in Business, Administration, Engineering, or related field. - Strong organizational and multitasking skills. - Excellent communication skills (written and verbal). - Proficiency with Microsoft Teams, Excel, SharePoint, and tracking tools. - Ability to work effectively with cross-border teams in different time zones. - High attention to detail and strong follow-through. - Bilingual (Spanish/English) required. - Experience with technical teams or the energy/IT sector is an asset.
