***Schedule: Wednesday–Sunday, 9:00am–5:00pm Pacific Time.*** About the role: D’Vine Taste Promotions is a premium field marketing company that runs in-store wine and spirits demos across major retail grocery chains in California. The company has expanded rapidly, from operating in three to nine active chains, and now runs hundreds of demos per month. This role exists to support that scale by owning rep-level staffing and weekend field support, allowing senior operations leadership to focus on higher-level planning and timelines. This is an execution-focused, detail-heavy role. It is not a strategy or management position. Accuracy, follow-through, and clear communication are essential. What you’ll be responsible for: As the Operations Coordinator, you will be responsible for ensuring demos that are already booked are properly staffed, confirmed, and supported, especially during weekends. Key responsibilities include: * Assigning reps to scheduled demos and confirming availability. * Managing the team line during assigned hours (Wednesday–Sunday). * Handling real-time rep questions, call-outs, and last-minute re-staffing. * Monitoring a shared operations inbox on weekends. * Executing precisely within existing Google Sheets workflows. * Following SOPs exactly, with zero tolerance for avoidable errors. * Flagging risks, gaps, or issues early and clearly to the operations manager. Candidates must meet all of the following requirements: * Strong written and spoken English, with clear and neutral phrasing, and comfort answering phone calls if needed. * Exceptional attention to detail and accuracy, with no tolerance for data-entry mistakes. * Comfort working inside complex Google Sheets. * Ability to follow structured workflows and update data precisely. * Proven ability to follow SOPs consistently. * Ability to remain calm, reliable, and responsive in time-sensitive situations. * Availability to work Wednesday–Sunday on Pacific Time. * Reliable internet connection and power supply. Relevant background examples, not required but helpful: * Operations or administrative coordination. * Scheduling or dispatch roles. * Detail-heavy customer support roles. You are succeeding in this role if: * Demos are consistently staffed and confirmed in advance. * Weekend team line issues are handled with minimal escalation. * Last-minute call-outs are resolved quickly and accurately. * A 97% or higher demo execution rate is maintained and ROI per demo increases over time. * Google Sheets data remains clean and error-free. * Operations Manager's time spent on rep-level execution drops materially.
