We’re hiring on behalf of a well-established construction and infrastructure group with over 60 years of operational excellence across excavation, aggregates, asphalt paving, civil engineering, and commercial development. The organization is seeking a reliable and detail-oriented Payroll Administrator to manage payroll processing across multiple companies, including union environments.
This is a critical role within the accounting department, supporting weekly and bi-weekly payroll runs, ensuring compliance with federal and state regulations, and managing union-specific reporting and documentation. The ideal candidate brings accuracy, discretion, and a strong understanding of multi-company, high-volume payroll processing.
Key Responsibilities:
- Prepare and process weekly and bi-weekly payroll across multiple entities, including updates for pay changes, deductions, garnishments, benefits, and 401(k) contributions.
- Manage and process special payroll scenarios, including retroactive pay, commissions, bonuses, layoffs, and union settlements.
- Prepare and submit monthly union reports and payment requests on schedule.
- Generate and review federal and state payroll tax filings (941, 940, IL-941, IL-W3, W-2s, MSHA, etc.).
- Coordinate with auditors by generating required payroll reports.
- Maintain and update payroll settings and union rates in Viewpoint (under Controller supervision).
- Organize and maintain payroll documentation, both electronic and physical, including all changes and verifications.
- Monitor and respond to payroll-related correspondence via email, phone, and mail.
- Perform other related duties as assigned.
Required Qualifications:
- Associate’s degree in Accounting or seven (7) or more years of payroll experience in lieu of formal education.
- Three (3) to five (5) years of experience in union payroll environments, preferably in construction or heavy industry.
- Proficiency with Microsoft Excel, Word, and Outlook.
- Experience handling sensitive payroll information with discretion.
- Experience processing payroll across multiple company entities.
Preferred Qualifications:
- Bachelor’s degree in Accounting, HR, or related field.
- CPP (Certified Payroll Professional) certification.
- Familiarity with payroll operations in a construction environment.
- Experience using Viewpoint payroll software.
