About the Firm:
- Dracup & Patterson, Inc is a small California business litigation firm based in Encinitas.
- We are hiring an experienced senior billing specialist to own the full billing cycle for the firm: reviewing time entries, generating and sending invoices, managing receivables, setting up payment plans with past due clients, and interfacing with and sending client payment history reports to our attorneys and staff.
- This is a long-term, stable, full-time remote position working California business hours.
Responsibilities:
- Use BillChecker.ai (an AI invoice reviewing tool — we will train you on it) to identify errors in attorney and staff time entries — incorrect hourly rates, miscategorized work, narrative issues, missing time entries, duplicate entries, and fee-agreement compliance issues — and resolve them before invoices go out.
- Generate, finalize, and send monthly invoices to clients.
- Manage accounts receivable: track outstanding balances, follow up on aging invoices, post payments, and keep AR clean.
- Communicate daily with the firm's bookkeeper and firm manager — you will be in close, ongoing contact with both.
- Produce billing and AR reports as requested by firm management.
Requirements:
- Minimum 4 years of hands-on law office billing experience.
- Ideally, experience with Clio Manage. If you have it, you will be tested on real Clio scenarios during the interview. If you do not, then strong experience with another legal billing system (MyCase, Rocket Matter, PracticePanther, Smokeball, etc.), plus the ability to learn Clio quickly will be considered.
- Native-level spoken and written English — you will be emailing clients regarding questions about their invoices, communicating with the law firm's manager and bookkeeper, and communicating with the attorneys and paralegals in the law firm to resolve billing issues, daily on weekdays.
- Available Monday–Friday, 9:00 AM – 5:00 PM Pacific Time (California business hours) except U.S. holidays.
- Strong attention to detail, especially around numbers, rates, and compliance language in fee agreements.
- Experience with California trust accounting (IOLTA) rules is strongly preferred.
- Reliable high-speed internet, dedicated quiet workspace, and a backup power/internet plan.
Compensation
Competitive monthly base salary, commensurate with experience
Monthly performance bonus: a percentage of cash received each month, paid out the same month — this rewards effective collections work and can meaningfully add to total compensation
