Sagan represents a US-based operations-driven company in the logistics and fulfillment space, operating with a custom-built no-code operating system (“FLEX OS”) that supports internal teams, partners, and customers. Position Overview:
We are looking for a highly autonomous Automation Specialist to take full ownership of FLEX OS 1.0 — a complex no-code system built on Airtable, Make.com, and QuickBooks Online.
This role is execution-focused and hands-on. The first phase of work will center on auditing, documenting, and stabilizing an existing automation ecosystem before expanding and modernizing it. You will act as a “department of one,” responsible for understanding how everything works, fixing what’s broken, and laying a clean foundation for future growth.
Key Responsibilities:
Conduct a full audit and documentation of all FLEX OS 1.0 logic, including:
Airtable bases and relational structures.
Make.com scenarios, routers, filters, and aggregators.
Identify, resolve, and document existing logic errors and system bugs.
Redesign and improve automation logic for clarity, reliability, and scalability.
Eliminate reliance on Skyvia by building custom two-way data synchronization between Airtable and QuickBooks Online (Invoices and Items).
Work directly with APIs (QBO API and custom endpoints) to handle non-native integrations.
Design and deploy a mobile-responsive UI and external portals using tools such as Softr, Glide, or Stacker.
Replace limited Airtable Interfaces with more professional, user-friendly experiences.
Establish a clean, well-documented system architecture that supports future AI agent integration.
Maintain consistent naming conventions, documentation standards, and processes across the system.
Qualifications:
Advanced experience with Airtable, including:
Relational database design.
Complex formulas and rollups.
Managing large datasets.
Strong expertise in Make.com, including:
Multi-step scenarios.
Routers, filters, aggregators.
Complex business logic handling.
Proven experience integrating with QuickBooks Online, preferably via:
QBO API.
Advanced Make.com modules.
Experience building or maintaining custom API-based integrations.
Ability to work independently with minimal direction and take full ownership of systems.
Strong documentation skills and attention to detail.
Clear, direct communication style.
Nice-to-Haves:
Experience replacing third-party sync tools with custom-built solutions
Familiarity with AI agents or automation-driven decision systems
Background in operations-heavy or finance-adjacent systems
Experience supporting external users (customers or partners) via portals or dashboards.
