Responsibilities

The Role We’re looking for a Senior Procurement & Operations Specialist to lead the full purchasing and operations cycle at Tunnel Spaces — from vendor coordination through shipment and installation. You’ll ensure orders, suppliers, and systems all run smoothly and predictably. You’ll also contribute to building and refining the operational workflows that help our team deliver efficiently as we grow. What You’ll Do Procurement & Vendor Management - Oversee the complete procurement cycle — RFQs, POs, vendor confirmations, production tracking, and shipping coordination. - Maintain and expand our vendor network (domestic and international), ensuring strong relationships, accurate information, and consistent quality. - Coordinate with Accounting on deposits, balance payments, and factoring processes. - Monitor vendor performance metrics and identify opportunities to streamline communication and lead times. - Ensure pricing, SKUs, and documentation remain accurate across systems. Operational Systems & Process Improvement - Build and refine standard operating procedures, templates, and workflows that make our processes more predictable and scalable. - Maintain operational data accuracy across Odoo (ERP), Airtable, and Google Workspace. Identify opportunities to automate routine tasks or introduce tools that improve visibility and efficiency. - Collaborate across teams to ensure procurement timelines align with design, project management, and installation schedules. Execution & Coordination - Track inbound shipments, delivery timelines, and installation readiness. Proactively resolve vendor or logistics issues with clear communication and documentation. - Support reporting and dashboards that summarize PO, shipment, and payment status for leadership visibility. - Contribute to an environment where information is transparent and processes are well-documented. Requirements Must-Have Qualifications - 5–8+ years of experience in procurement, operations, or supply chain management. - Experience in a physical inventory or product-based operations environment - Background in an organization where operational discipline, data-driven reporting, and structured collaboration were part of daily work. - Proven ability to manage multiple vendors and projects simultaneously. - Experience working cross-functionally with design, logistics, and finance teams. - Strong organizational, time management, and communication skills. - Demonstrated track record of taking initiative and following through independently. - Comfortable with technology (AI tools, ERP systems, Airtable, and Google Workspace). - Excellent written and verbal communication skills; professional and clear under pressure. Bonus / Nice-to-Have - Bachelor’s degree in Supply Chain, Operations, Business, or a related field (MBA or further study a plus). - Experience with Odoo, Zoho, or other ERP systems. - Familiarity with FF&E (Furniture, Fixtures & Equipment), interior design, or make-to-order manufacturing workflows. - Experience improving or building operational processes. - Demonstrated interest in AI tools, data automation, or workflow design. - History of personal or professional initiative — such as launching a project, organization, or program, or pursuing advanced education on your own. Who You Are You’re an experienced operations professional who knows how to bring order, structure, and consistency to moving parts. You’ve worked in settings where attention to detail, documentation, and follow-through matter — and you understand how to keep projects organized across multiple teams and deadlines. You’re self-directed and dependable, but also collaborative and communicative. You like solving problems, improving systems, and finding more efficient ways to work. You take ownership naturally — not because someone told you to, but because you take pride in doing things well and seeing them through. You’re the kind of person who builds clarity where there’s complexity and momentum where there’s uncertainty. You’ll likely succeed in this role if you: - Take initiative — whether that’s starting something new, improving a process, or pursuing higher education or certification on your own. - Communicate clearly, follow through reliably, and stay organized even when things move fast. - Are comfortable with technology and open to learning new systems. - Bring curiosity and a sense of responsibility — you care about doing things right and making them better.
