Bilingual Legal Intake Specialist (English/Spanish).
Schedule:
- Monday–Friday.
- 9:00 AM–5:30 PM PST.
- Remote.
Overview:
- We are looking for a Bilingual Legal Intake Specialist to serve as the first point of contact for prospective clients seeking legal support.
- You will conduct detailed intake interviews, gather and verify case information and supporting documentation, maintain accurate CRM records, and prepare clear intake summaries for legal review.
- This role is ideal for someone with hands-on U.S. legal intake experience and direct knowledge of California employment law.
Key Responsibilities:
- Conduct inbound legal intake interviews in English and Spanish across phone, web, and advertising-generated leads.
- Gather detailed information related to employment claims, including termination, discrimination, harassment, retaliation, wage and hour issues, and leave-related matters.
- Follow established intake scripts, disclosures, and procedures to ensure accurate and consistent information collection.
- Request and follow up on supporting documents such as pay stubs, termination letters, performance reviews, complaints, and agency correspondence.
- Maintain complete and accurate lead records, call notes, and pipeline stages in HubSpot CRM.
- Follow up with prospective clients who have outstanding information or documentation.
- Prepare clear, organized written intake summaries and route completed cases for legal review.
- Identify and immediately escalate matters involving deadlines, upcoming hearings, emergencies, or other time-sensitive circumstances.
Requirements:
- 2–3 years of legal intake experience with a U.S. law firm.
- Hands-on experience with California employment law matters is required.
- Fluency in English and Spanish, both written and spoken.
- Experience handling a high volume of inbound leads and calls, ideally in an advertising-driven legal intake environment.
- Working proficiency with HubSpot CRM, RingCentral or similar VoIP systems, and Microsoft Teams.
Nice to Have:
- Experience using AI-assisted tools such as Claude in your daily workflow.
- Strong experience managing follow-ups and documentation collection throughout the intake process.
- Previous experience working remotely with U.S.-based legal teams.
