1. Operations:
JIRA Tasks, schedule weekly, follow up on due dates with the team. Review all tasks to make sure that those are still on time, reach out to perspective teams to follow up with those tasks that are running behind and set a new delivery date. Help set OKRs, discuss with chief officers and help follow up with team. Help review the company’s business plan and weekly track progress. Make notes and notify management about KPIs.
2. Human Resources:
Job Postings, filtering Interviewing and, schedule interviews with chiefs. Coordinate and review contracts created for new staff. Backup executed files, secure signatures, and store. Generate access to different platforms. Help new team members troubleshooting. Coordinate internal communications/holidays, etc. birthdays, vacation times. Keep employees records up to date, inclusive of banking and contact information, contract’s expiration dates and let the founders know if any contracts are expiring soon.
Help manage payroll. Collect and store Paystubs and invoices, connect with the accountant and provide files. Join all team meetings. Send reminders via email and WhatsApp.
3. Administrative:
Identify needs for internal Manuals.
Up to date records, certificates + cap table update (team).
Schedule meetings, Calendly and Team meetings. Answer Calls, reply to emails, handle Founder's calendar. Support the Founders and C-level Execs. Join meetings with chiefs and Founders, Send reminders about meetings to team and partners, and coordinate calls. Create a working plan for the Admin and Human Resources department with goals and delivery times
Check and answer emails for 4 different accounts (or more). Answer the phone, transfer calls, take messages, etc.
