Operating across both property management and construction arms, this organization prides itself on seamless operational execution, strong vendor partnerships, and delivering top-tier experiences to residents and field crews alike. Key Responsibilities Serve as the primary point of contact for resident inquiries via phone, text, and email; triage maintenance requests, coordinate vendor appointments, and oversee lease administration (applicant screening, notices, renewals, and listings). Coordinate logistics across vendors, subcontractors, laborers, inspections, title company paperwork, and material orders for active building projects. Maintain up-to-date project records in specialized construction management software and organize field data to ensure outstanding action items are completed. Prepare regular project-status reports, monitor timelines, track vendor quotes and invoices, and drive project milestones to completion. Oversee operational admin tasks including utility accounts, recordkeeping, invoicing, and day-to-day property maintenance workflows. Must-Have Requirements Experience supporting U.S.-based property management or construction operations. Excellent phone presence, high emotional intelligence, and the ability to firmly enforce policies during disputes or sensitive resident interactions. Tech-savvy skills with Google Workspace, MS Office, AI tools, and a fast learning curve for new operational platforms. Exceptional organization, proactive problem-solving, persistent follow-through, and comfort balancing changing priorities alongside construction personnel. English Proficiency (verbal and written) and fluent Spanish to communicate seamlessly with U.S. residents, vendors, and Spanish-speaking field crews. Nice-to-Have Requirements Hands-on experience with property and construction software (e.g., DoorLoop, AppFolio, Buildium, CompanyCam, or Contractor Foreman). Background in light bookkeeping, invoice reconciliation, or vendor payment tracking. Basic experience with social media management or digital property listing promotion.
