Executive Assistant About BBG BBG (formerly Bermuda Bulk Gases and Tools & Equipment Unlimited) supplies industrial and medical gases, hydraulic hose assemblies and industrial products throughout Bermuda. Under new leadership, we’re strengthening our people, systems and technology to build an organisation designed to become stronger over time. The Opportunity This is an opportunity to work closely with the Executive and become an important part of how their work gets done. Your role is to help the Executive use their time and attention more effectively. You’ll provide administrative support across both business and personal matters, helping organise their time, information, communication and commitments. You’ll work closely with the Executive and Chief of Staff, take responsibility for important details and continually look for ways to make the Executive more effective. What You’ll Do You’ll help the Executive use their time and attention effectively by: Managing their calendar, scheduling, travel and other logistics. Managing correspondence and helping prepare and draft communications. Organising business and personal administrative matters. Keeping track of commitments, requests and follow-ups. Preparing, reviewing and organising documents and information. Anticipating needs and handling routine matters without unnecessary involvement from the Executive. Supporting the Chief of Staff with administrative execution. As you develop your understanding of the Executive and the organisation, you’ll increasingly recognise what requires the Executive’s attention, what can be handled independently and how to make the best use of their time. Who We’re Looking For You have strong character. You’re trustworthy, discreet and understand the responsibility that comes with having access to confidential business and personal information. You’re exceptionally dependable and organised. You follow through on commitments, communicate when plans change and make sure important details don’t get dropped. You’re proactive and exercise judgement. You anticipate needs, recognise what you can handle independently and know when something requires the Executive’s attention. You communicate clearly and professionally and make information easy for others to understand and act on. You have a love of learning. You ask questions, learn from experience and continually look for ways to become more effective. You’re comfortable using technology and AI to improve the way you work. Technical Foundation You should have: Experience supporting a busy executive or business owner. Excellent written and spoken English. Strong organisational and administrative skills. Experience using modern productivity software. The following experience is highly desirable: Managing complex calendars, travel and executive logistics. Drafting correspondence and working with confidential information. Working in a remote or distributed team. Using AI and automation to improve the way you work.
