About the Opportunity: - Pathfinder Hospitality (PFH) is a Houston-based hotel management company operating a portfolio of branded properties, including Aloft Austin Southwest, Holiday Inn Express Arboretum, and Staybridge Suites Houston Clear Lake. - You are joining a team that invests in your growth and rewards excellence. - This role is dedicated to chasing execution. - You will follow up daily on requests sent to General Managers or stakeholders until they are completed. - You will track dozens of open items and ensure every one of them is closed. - This role closes the gap in property-level follow-through. - This position has room to grow into more scope as the underlying process matures. - You will free up senior leadership time by handling follow-up work. Work Schedule & Logistics: - Work Schedule: Monday through Friday, 9:00 AM to 5:00 PM, US Central Time (CT). - Contract Type: Full-Time. - Reports To: Owners. Role Summary: - The Virtual Assistant / Administrative Assistant keeps outstanding commitments visible and moving across Pathfinder Hospitality. - When a request goes out to a General Manager or another stakeholder with a deadline attached, you will log it, follow up daily until it is resolved, and escalate anything stuck before it becomes a problem. - The core of the role is to track, follow up, escalate, and close. - The role covers calendar management, basic Canva work, and general administrative and project support. Follow-Through & Execution Tracking: - Own the follow-up. - Follow up daily, politely and persistently, on every request that goes out to a GM or stakeholder with a date attached, until it is done. - Track everything. - Maintain a live log of outstanding items: what is open, who owns it, when it is due, and its current status. - Escalate what is stuck. - Flag stalled items to the appropriate leader before they become a bigger problem. - Close the loop. - Confirm completion and update the tracker so nothing lingers as in progress after it is actually done. Calendar & Scheduling Support: - Manage calendars. - Coordinate calendars for leadership as needed, scheduling meetings, calls, and follow-ups across time zones. - Send reminders. - Give advance notice ahead of deadlines and meetings so nothing is a last-minute surprise. Administrative & Project Support: - Handle the admin. - Take on day-to-day tasks: document organization, data entry, correspondence. - Support projects. - Bring organization and coordination to ad hoc projects as they come up. - Use the right tools. - Structure and track multiple concurrent workstreams using project management tools. Design & Platform Support: - Build in Canva. - Put together simple materials: trackers, one-pagers, internal updates, visual summaries. - Learn our systems. - Get comfortable with Pathfinder Hospitality's corporate platforms quickly, and keep records and trackers current and accessible. Job Requirements: - Strong written English: Clear, professional, and typo-free in every message. - Organization: Able to track dozens of open items at once without dropping any. - Polite persistence: Comfortable following up again, and again, without it feeling like nagging. - Proactive: Flags issues and follows up without being asked. - Canva basics: Comfortable building simple visual materials. - Platform comfort: Picks up new corporate platforms and tools quickly. - Project management sense: Can structure and track multiple workstreams at once. - Availability: Reliable internet connection and a quiet remote work setup.
