**HR & COMPLIANCE OFFICER** Full-Time | Remote — Open Worldwide | Reports to: Executive Leadership **About the Role** We're hiring an HR & Compliance Officer to lead people operations and regulatory compliance for a growing professional services company with a nationwide U.S. client base and a distributed, global team. You'll be the go-to owner for onboarding, personnel administration, credential and background-check tracking, and business/regulatory filings — keeping the organization audit-ready at all times. This is a highly cross-functional role for someone who is equal parts organized, detail-obsessed, and comfortable being the last line of defense on compliance. **What You'll Do** *HR Administration* - Manage the full employee and contractor lifecycle — offer letters, onboarding paperwork, tax and identity documentation, and personnel recordkeeping. - Build and maintain onboarding materials, employee handbooks, and role-specific training documentation. - Run a structured performance and milestone review cycle (plan → execute → check-in → follow-up) for staff across departments. - Support recruitment logistics — job postings, interview scheduling, reference checks — for internal hires. - Serve as the first point of contact for employee relations questions, escalating sensitive matters appropriately. *Compliance & Credentialing* - Track and verify required certifications, licenses, and state-specific credentials for a distributed U.S. workforce operating across multiple states. - Own background-check processes end to end, ensuring documentation satisfies client, contract, and regulatory requirements. - Maintain business certifications and any federal/state registrations, tracking renewal deadlines and filing requirements before they lapse. - Monitor multi-state registration and licensing status, and lead documentation efforts when expanding into new states. - Keep company policies, compensation guidelines, and compliance handbooks current with applicable law, and apply standard operating procedures (SOPs) consistently across all HR and compliance processes. - Respond to compliance and audit requests from clients, partners, and contracting agencies. - Maintain confidential personnel and compliance files in line with data privacy and recordkeeping standards. **Who You Are** - Bachelor's degree required (any field). - 2+ years of experience in HR administration, compliance, or credentialing — staffing, healthcare, legal services, or another regulated/contract-driven industry preferred. - C2 (proficient/mastery) level English, across speaking, reading, and listening — this role requires clear, precise communication with U.S.-based clients and staff. - Before applying, please test your English level using the free EF SET English Test ( ---------- ) and include your score/certificate with your application. - Resume demonstrating proven, relevant experience, plus professional references who can confirm your work. - Reliable home office setup: a computer, one to two additional monitors, a quiet working environment, and a stable, dependable internet connection. - Trustworthy and self-directed — able to work independently and reliably with minimal supervision, as well as collaboratively when needed. - Energetic and engaged, bringing genuine knowledge and judgment to the business rather than just following instructions. - Disciplined about applying SOPs and documented processes consistently, without cutting corners. - Working knowledge of core employment documentation (e.g., I-9, W-9/1099, W-2 equivalents) and background-check processes. - Strong written communication — able to turn policy and legal requirements into clear, usable staff-facing documentation. **Nice to Have** - Experience with minority/women-owned business certifications (MWBE/WBE/MBE) or public-sector and federal contract compliance. - SHRM-CP/SHRM-SCP, PHR/SPHR, or equivalent HR certification. - Experience supporting a staffing, interpreting, translation, or other credential-heavy service industry. **Key Performance Indicators** | KPI | Target | Frequency | |---|---|---| | Credential / background-check compliance rate | 100% | Monthly | | Certifications & registrations filed on time (business, state, federal) | 100% | Ongoing / per deadline | | New-hire onboarding completed within policy timeline | ≥ 95% | Monthly | | Personnel & compliance file audit accuracy | 100% audit-ready | Quarterly | | Multi-state registration coverage maintained / expanded | Zero lapses | Quarterly | | Policy & handbook currency | Reviewed 2x/year minimum | Semi-annual | | Performance review cycle completion | ≥ 95% | Quarterly | | Response time to compliance/audit requests | ≤ 3 business days | Ongoing | | SOP adherence across HR/compliance processes | 100% | Ongoing |
