PAYROLL COORDINATOR
A major international client is seeking a Payroll Coordinator to join their Human Resources team.
Contract Type: Full-time.
Location: Colombia (On-site) or Guatemala (Remote).
Schedule: Monday to Friday, 8:00 AM - 5:00 PM CST.
Experience Required: Entry-level/Junior (1 to 3 years of experience).
Language Requirement: English C1 (90%).
Compensation:
- Colombia: COP 2,665,000 - COP 2,925,000 / Monthly.
- Guatemala: GTQ 85,000 - GTQ 100,000 / Monthly.
Job Description:
The Payroll Coordinator is responsible for processing the bi-weekly payroll and supporting daily HR operations for all locations. This position works closely with internal clients (managers and team members) to provide solutions and resolve payroll-related issues. The role involves responsibilities across four core areas: payroll, recordkeeping, legal compliance, and department administration.
Key Responsibilities:
Payroll Processing:
- Manage bi-weekly payroll processing within the UKG Pro platform, ensuring accurate and timely execution from pre-processing to completion.
- Handle imports of bonuses, incentives, 401(k) changes, timecard data, wage garnishments, and additional benefits taxes.
Reporting and Audits:
- Run post-payroll reports, conduct quarterly audits, and coordinate year-end closing processes (setting up the payment schedule, suspending deductions, and ensuring regulatory compliance).
- Work closely with the Accounting department on general ledger (GL) coding, bank charges, reporting, and resolving payroll discrepancies or reconciliations.
- Manage responses to payroll tax notices in conjunction with Management.
HRIS Management and Administration:
- Enter data and changes into the HRIS system (new hires, promotions, job or location changes).
- Prepare offer letters, process expense reports, and maintain up-to-date legal compliance posters.
Confidentiality and Continuous Improvement:
- Maintain high standards of confidentiality for all personnel records and information.
- Actively seek process improvements and efficiencies within the Human Resources department.
Requirements and Qualifications:
Education and Experience:
- Bachelor's degree in Human Resources, Business Administration, Accounting, or related field.
- More than 1 year of experience required in multi-state payroll and legal compliance.
- Prior experience with UKG Pro or other HR/Payroll platforms is highly desirable.
Hard Skills:
- Advanced proficiency in Excel and Microsoft Office Suite tools.
- Solid understanding of payroll policies, HR policies, and multi-state payroll concepts.
Soft Skills:
- High attention to detail, strong organizational skills, and excellent time management with a sense of urgency.
