Responsibilities


We are looking for a proactive and organized Intake Specialist who enjoys building positive relationships and helping clients feel supported throughout their experience. In this role, you will serve as a key point of contact, gathering important information, maintaining regular communication with clients, and ensuring records and documentation are accurate and up to date. You will play a vital part in keeping case information organized, following up on requests, and ensuring nothing falls through the cracks. This opportunity is ideal for someone who is detail-oriented, communicative, and comfortable managing multiple follow-ups while delivering excellent client service.• Monthly Compensation Range: from $1,150 to $1,220 USD.Responsibilities include, but are not limited to:Collaborate with team members to ensure all requested information is gathered and properly documented.Manage inbound and outbound calls with professionalism and efficiency.Coordinate calendar reminders, follow ups, and task tracking as needed.Monitor follow up schedules and ensure timely outreach to clients and third parties.Track and follow up on insurance and medical record requests.Maintain accurate records of client communications and case related activities.Save and organize client documentation within the firm's record management system.Prepare and send correspondence to insurance companies informing them of representation and requesting policy information.Follow up with medical providers to ensure requested records and bills are received.Request medical records and medical bills from providers.Communicate with clients to check on their wellbeing and collect updated information regarding medical providers and treatment status.Requirements: Additional Job Description Schedule: Monday to Friday, 9:00 AM to 6:00 PM ESTTime Zone: Eastern Time (EST)Required Skills:Minimum of 1 year of experience in a client-facing role, such as customer service or sales.Advanced/native-level English skills (both written and spoken)Legal experience is not required.Experience managing client communications and follow-up processes preferred.Strong organizational and time management skills required.Ability to accurately track client interactions, next steps, and outstanding requests.Comfortable handling inbound and outbound calls throughout the workday.Experience working with digital records, documentation, and data management systems preferred.Calendaring and scheduling abilitiesClient service and relationship-building skillsAbility to manage multiple priorities and follow up activities simultaneouslyProfessional phone etiquetteSelf-motivated and dependableDetail-oriented mindsetStrong problem-solving abilitiesAbility to work independently while following established processesAdaptability and willingness to learn new systems and proceduresSoftware and Tools:CasePeerGoToMicrosoft OutlookAdobeEmail and calendar management toolsWork Shift:9:00 AM - 6:00 PM [EST][EDT] (United States of America)Languages:EnglishReady to dive in?
