Requirements and responsibilities


American International Industries is a leading manufacturer and international distributor of beauty and personal care products. This is a contract position. Must be available to work during business hours of 9 a.m. - 5 p.m. PACIFIC STANDARD TIME. Responsibilities: - Receives, sorts, reviews, and approves freight invoices from various freight vendors. - Audits all freight invoices for appropriate documentation and approval prior to sending to A/P for payment processing. - Enters invoices in Excel Spreadsheet, once invoices have been stamped with approval stamp. - Works directly with the Accounting Department to ensure freight invoices are processed, scanned, and paid on time while adhering to departmental procedures. - Original invoices are placed in a red inter-company envelope and sent to A/P with company driver. - Responds to all vendor inquiries regarding payment in a timely manner. - Corresponds and interacts with vendors, customers, executive staff, other departments, and staff members. - Verifies discrepancies and resolves clients' billing issues. - Maintains a clean, neat, and organized work area. - Files claims with vendors due to loss or damaged cargo. Desired Qualifications: - Must have 4 or more years of related experience, some knowledge of accounts payable or related data entry function in the freight industry preferred. - Bilingual English and basic/conversational Spanish preferred. - Accurate and detail-oriented, professional attitude, reliable, with excellent follow-through skills. - Ability to prioritize, solve problems, and work in a fast-paced, high-volume environment, work independently and with a team. - Ability to work under pressure in order to maintain payment accuracy and meet accounting deadlines. - Ability to learn customized company software. - Strong communication including grammar, punctuation, spelling, and interpersonal skills. - Computer literate: Hands-on experience with Microsoft Word, Excel, Outlook. - A professional appearance and work ethic. - Punctuality and regular attendance consistent with the company’s policies are required for the position. Physical Requirements: - Ability to lift at least 10-15 lbs. The company reserves the right to modify this job description with or without notice.
