Part-Time Personal Assistant (Remote). About OPSIFY: OPSIFY S.A. is an operations and consulting firm based in Panama. We are hiring a part-time personal assistant to support the founder with business administration and personal logistics. The Role: We need someone to handle the human layer of administration, things that need a real person on the other end: phone calls, paperwork, in-person follow-ups, careful research, bookings, and coordination. Most digital and repetitive administration is already handled by AI tools. Your value is judgment and follow-through on tasks that benefit from a thinking human. Engagement: - Hours: Approximately 4-6 hours per week, once a week (flexible day). - Type: Independent contractor (you invoice OPSIFY monthly). - Location: Remote, anywhere in Latin America preferred for time zone fit. - Languages required: - English: Fluent, written and spoken. - Spanish: Basic working level. - Languages bonus: Portuguese is a plus. - Start date: Flexible, ideally within 4 weeks. - Trial period: The first month is a paid trial. If we are a good fit, we continue indefinitely. What you will do: Business Administration: - Coordinate with accountants, registered agent, and other professional services. - Track and file invoices, receipts, and contracts. - Follow up on outstanding items with providers and clients. - Light document preparation (templates, edits, formatting). Personal Logistics: - Book travel: flights, hotels, restaurants, ground transport. - Manage personal appointments (medical, fitness, household). - Research and book services. - Calendar management and reminders. Communication: - Make phone calls in English or Spanish with banks, government, providers, suppliers. - Draft polite follow-ups and confirmations. - Triage inboxes when asked. Research: - Compare options (services, providers, products) and present a clear recommendation. - Pull together briefs ahead of meetings or trips. What we are looking for: Must have: - Fluent English (written and spoken). - Basic working Spanish. - 2+ years as a Personal Assistant, Virtual Assistant, or Executive Assistant. - Excellent attention to detail. You triple-check before sending. - Self-starter. You can take a brief and run with it. - Comfortable with Google Workspace, Notion, WhatsApp, Telegram. - Trustworthy and discreet. You will handle sensitive information. Nice to have: - Portuguese. - Experience supporting founders or executives. - Familiarity with international travel logistics. How we work: - Direct and clear.
