About the roleThe Conference & Meetings Manager is responsible for planning, coordinating, and executing Iantrek’s portfolio of conferences, surgeon education programs, and field-facing events. This role will serve as the operational backbone of Iantrek’s growing presence across key industry meetings and customer engagements ensuring every interaction reflects the quality, precision, and professionalism of our brand. As Iantrek continues to scale, this role will enable the Product Marketing team to remain focused on strategy and commercialization, while bringing dedicated ownership and consistency to event execution. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, hands-on environment where execution excellence directly impacts commercial success.Key ResponsibilitiesLead end-to-end planning and execution of national and regional conferences (e.g., AAO, ASCRS, AGS), ensuring a high-quality and consistent brand presence.Manage logistics for booth planning, sponsorships, meeting space, on-site activations, and execution of customer engagement initiatives.Coordinate pre-event planning timelines, deliverables, and cross-functional alignment to ensure readiness.Support planning and execute surgeon training programs, lab events, and educational meetings in partnership with Marketing and Clinical teams.Manage all event logistics including venue selection, contracts, travel coordination, materials, and on-site execution.Ensure seamless, high-touch experiences for surgeons and customers that reflect Iantrek’s commitment to prioritizing people.Partner with Sales and Clinical teams to support regional meetings and customer programs aligned with approved commercial priorities.Provide structure, tools, and operational support to ensure consistent execution across geographies.Manage relationships with external vendors, agencies, and conference organizers from planning through execution.Track and manage event budgets, ensuring alignment with approved spend and maximizing ROI.Negotiate contracts and ensure cost-effective delivery of services.Execute events aligned with defined commercial priorities and brand strategy.Ensure all materials, messaging, and experiences are consistent with brand and product strategy.Coordinate internal event readiness communications to ensure alignment across teams.Develop and maintain standardized processes, timelines, and checklists to support scalable event execution.Capture and share post-event insights, feedback, and opportunities for continuous improvement.Ensure all activities are compliant with company policies and industry regulations.ExperienceBachelor’s degree required (marketing, communications, business, or related field preferred)5+ years of experience in event planning, conferences, or meetings management in a Device companyExperience supporting ophthalmology or surgical specialty meetings (AAO, ASCRS, AGS, etc.) highly preferredProven ability to manage multiple complex projects simultaneously with strong attention to detailStrong organizational and project management skills with the ability to execute at a high level in a fast-paced environmentExcellent communication and stakeholder management skillsExperience managing vendors, budgets, and event logistics end-to-endWillingness to travel (~30–40%) to support on-site execution
