Position Overview:
We’re seeking a QuickBooks & Payroll Specialist who is detail-oriented, bilingual professional with strong experience in QuickBooks Online and a knack for organizing people, systems, and schedules. You’ll focus primarily on payroll, accounting, and invoicing tasks, helping ensure smooth operations and accurate books while working alongside a complementary hire who will handle more client-facing responsibilities. As the team continues to grow, this person will also support the onboarding of new hires by uploading documentation into QuickBooks. This is a long-term opportunity with ample room for growth as the company expands.
Key Responsibilities:
Run weekly QuickBooks payroll for a growing team (currently ~10 employees, with rapid expansion expected).
Produce DIIR-certified payroll reports for government contracts.
Maintain and update the Exact Time tracking system (cost codes, users, job sites).
Reconcile and categorize historical transactions in QuickBooks; streamline the chart of accounts.
Generate and send invoices based on job status and progress.
Monitor and report job performance metrics for monthly CPA reviews.
Upload new hire documentation into QuickBooks during onboarding.
Maintain basic compliance documentation for government jobs (training provided).
Assist with building SOPs and light admin tasks as needed.
Qualifications:
2+ years of hands-on QuickBooks Online experience with U.S. payroll and certified reporting.
Bilingual fluency in English and Spanish (written and spoken).
Strong proficiency in Excel/Google Sheets (filters, pivot tables, formulas).
Experience with scheduling tools, CRMs, or field-service platforms.
High attention to detail and an ownership mindset.
Nice-to-Haves:
Familiarity with Exact Time or other time-tracking tools.
Experience handling government contract documentation (prevailing wage, compliance forms).
Background in roofing, construction, HVAC, or related home-service industries.
Prior experience creating SOPs or onboarding remote team members.
