We are seeking a professional, friendly, and highly communicative Legal Intake Virtual Assistant to join the Valgorithm team. In this role, you will support one of our U.S.-based legal clients by answering inbound calls, speaking with potential clients, and completing structured intake forms using MyCase. You will be the first point of contact for many individuals seeking legal help, so it is essential that you communicate clearly, show empathy, and create a sense of trust from the very beginning. As a Valgorithm VA, you will be part of our internal team. You will report directly to both the client and Valgorithm. While you will serve a specific client, you are fully supported, managed, and paid through us. We expect you to actively contribute to our culture of professionalism, ownership, and teamwork. Client-specific responsibilities * Answer incoming phone calls with professionalism and warmth. * Follow a structured intake form in MyCase to gather client information accurately. * Ask relevant questions and record detailed notes in the system. * Build trust and create a positive first impression for potential clients. * Respond to basic inquiries about legal services using provided guidelines. * Flag urgent or high-priority cases to the legal team promptly. * Maintain professional and timely communication with the client and legal staff. * Proactively raise process gaps or client needs to Valgorithm for support or optimization. * Assist with other administrative tasks the attorney may delegate. Valgorithm-specific responsibilities Although your primary focus will be supporting a legal client, you are a core part of the Valgorithm team. This means we expect a high level of professionalism, proactive communication, and ownership in everything you do. You will: * Participate in internal team meetings, updates, and feedback sessions. * Provide general administrative support for internal projects as needed. * Collaborate with the CEO and VA Manager to improve client operations and service quality. * Communicate consistently and clearly, keeping both the client and Valgorithm informed. * Follow Valgorithm’s internal processes and standards to ensure professionalism and alignment. * Use Google Workspace, Slack, and task management tools to stay organized and efficient. Requirements * 1+ years of experience as a legal assistant, paralegal, or virtual assistant supporting legal professionals. * Strong working knowledge of legal case management platforms (MyCase preferred) or other CRM tools. * Advanced proficiency with Google Workspace: Gmail, Calendar, Docs, Sheets, and Drive. * Comfortable using Slack for internal communication and client coordination. * Excellent spoken English. * Exceptional communication skills; must be clear, calm, and professional over the phone and in writing. * Empathy and emotional intelligence; ability to listen attentively, understand client concerns, and respond with care. * Trust-building mindset; able to create a sense of confidence and safety during the first client interaction. * Strong problem-solving and decision-making skills, especially when handling questions or unexpected issues. * High attention to detail and ability to follow structured processes independently in a fast-paced, remote setting. * Ability to maintain confidentiality and handle sensitive legal information with discretion. Work environment requirements To ensure a productive work environment, the following is required: * Dedicated computer: A personal computer (not shared with family members) with a minimum of 8GB RAM, updated security patches, and antivirus software. * Primary internet connection: A reliable internet connection with at least 20 Mbps download and 10 Mbps upload speed. * Backup internet connection: A secondary internet option like pocket wifi, prepaid modem, or mobile data plan. * Quiet workspace: A consistently quiet workspace free from background noise. * Licensed operating system: A licensed Windows 10 or higher operating system for Windows PCs and laptops, or MAC OS X v10.15.5 or higher for Mac devices.
