Introduction: Job Title: Executive & Payroll Assistant. Work Hours/Schedule: Part-time, 20 hours per week, with real potential to grow into a full-time role. Time Zone: Eastern Time (EST/EDT). Location: Remote, open to candidates across Latin America. Overview: Ever wanted to be the person a fast-growing company simply couldn't run without? This role is built for exactly that kind of person. This is a full-service events company based in Washington, DC that started in catering and has grown into a complete events operation, planning everything from weddings and galas to corporate events and destination celebrations. The team is scaling quickly and building out stronger internal systems to support that growth, which is exactly where this role comes in. You will be the glue that holds the daily operations together, handling everything from payroll to staff oversight to last-minute logistics, all while keeping leadership focused on the bigger picture. Key Responsibilities: - Handle end-to-end payroll processing, tax reporting, and internal control recordkeeping. - Monitor and verify the sales team's work to keep accountability and productivity on track. - Manage menu and contract updates, staying ahead of deadlines so nothing delays a customer order. - Jump in on urgent logistics needs, including placing time-sensitive supply orders through apps like Instacart. - Support leadership with daily administrative tasks, follow-ups, and internal communication. - Join meetings on the team's behalf and summarize the key points and next steps. - Manage POS system updates, client billing, and inventory communication with staff and vendors. Must-Have Requirements: - A true "glue person" personality: highly organized, detail-oriented, dependable, and someone who takes ownership. - Proven experience with payroll processing, basic accounting, and tax reporting. - Comfortable with staff oversight, implementing internal controls, and auditing outputs. - Tech-savvy and resourceful, proficient with standard office software, communication tools, and delivery apps. - Strong time management skills, able to track multiple deadlines at once without dropping the ball. - Solid working knowledge of Microsoft Excel or Google Sheets. - Experience with POS systems and client billing. - Ability to validate staff rule compliance and manage inventory communication with stakeholders. - Comfortable using Word, Canva, and Cricut. - Able to join meetings and summarize the important points clearly for leadership. Nice-to-Have Requirements: - Experience in food and beverage, hospitality, or e-commerce (familiarity with menu or order management is a big plus). - Background working in a fast-growing startup environment. - Familiarity with payroll software such as Gusto, ADP, or QuickBooks.
