Key Responsibilities:
- Answer inbound calls from existing customers and prospects.
- Return missed calls quickly.
- Serve as a polished primary point of contact.
- Create, send, revise, and follow up on rental quotes using a preset follow-up sequence.
- Discuss pricing and discounts within established guidelines.
- Maintain accurate records in HubSpot.
- Manage quotes in Flex Rental Solutions.
- Keep the pipeline organized and up to date.
- Coordinate across sales, operations, logistics, accounting, and management to answer client questions and resolve rental details.
- Qualify new inbound opportunities.
- Route opportunities appropriately.
- Book meetings.
- Collect required documentation such as POs, insurance certificates, and agreements.
- Keep clients informed throughout the rental process.
- Build long-term, trust-based relationships.
- Run light outbound during slower periods to reconnect with warm leads, past customers, and inactive accounts already in the CRM.
- Support a custom internal booking tool.
- Help troubleshoot within the booking tool as part of daily workflow.
Must-Have Requirements:
- 10+ years of professional experience in a customer-facing field.
- Strong stability and long tenures with no pattern of switching jobs every couple of years.
- Background in customer success, account management, sales support, or inside sales.
- Near-native spoken and written English with a clean, professional, polished phone presence and communication style.
- Strong HubSpot experience and CRM management skills.
- High attention to detail and strong organizational habits.
- Ability to manage multiple priorities in a structured, steady-paced environment.
- Ability to work independently with strong ownership and follow-through.
- Quick learner able to absorb technical industry terminology and a large catalog of inventory (2,000 to 3,000 SKUs).
- Availability to work a 10-hour daily window on EST, with occasional evening/weekend responsiveness for urgent matters.
Nice-to-Have Requirements:
- Experience in equipment rental, event production, or any events-related rental niche (stage, tent, table, chair, or similar).
- Familiarity with Flex Rental Solutions or a similar industry quoting platform.
- Experience managing large inventories or complex logistics.
- Experience working with high-value clients and high-ticket transactions.
- Familiarity with modern workflow tools.
- Bonus points for experience with Lovable or similar build tools for light troubleshooting.
