Position: Leasing, Billing & Administrative Operations Specialist (Remote). Position Summary: The Leasing, Billing & Administrative Operations Specialist serves as a key operational leader supporting residents, property owners, applicants, and internal team members. The ideal candidate will oversee lease administration, renewals, housing program coordination, resident communications, and administrative processes while ensuring a high level of accuracy and customer service. This role requires someone who is proactive, organized, process-driven, and comfortable working with property management software and multiple communication platforms. Key Responsibilities: Leasing Administration: - Process approved rental applications. - Prepare and distribute lease agreements and lease addendums. - Coordinate lease signing and move-in documentation. - Ensure all required resident documentation is complete prior to move-in. - Maintain accurate resident records and leasing files. - Communicate with applicants regarding next steps and requirements. Lease Renewals: - Manage lease renewal workflows and timelines. - Prepare and distribute renewal offers. - Follow up with residents regarding renewal decisions. - Coordinate negotiations when needed. - Execute renewal documentation and update system records. Resident Services & Communication: - Serve as a point of contact for resident administrative inquiries. - Assist residents with lease-related questions and requests. - Handle communications regarding lease modifications, occupancy changes, and early termination requests. - Ensure timely follow-up and resolution of resident concerns. Housing Program Coordination: - Coordinate with housing authorities and voucher programs. - Manage inspections, paperwork, and compliance requirements. - Track approvals and payment schedules. - Maintain organized records and documentation. Billing & Administrative Support: - Review and process vendor bills. - Coordinate with accounting regarding resident ledger questions. - Support billing-related communications. - Maintain accuracy of vendor, resident and property records. Team Coordination & Quality Control: - Monitor administrative workflows. - Ensure company response time standards are met. - Review work for accuracy and completeness. - Assist with training and process improvements. - Support operational efficiency initiatives. Qualifications: Required: - 3+ years of administrative, property management, leasing, customer service, or operations experience. - Excellent written and verbal English communication skills. - Strong organizational and multitasking abilities. - Exceptional attention to detail. - Ability to work independently in a remote environment. - Strong problem-solving skills. - Professional and customer-service-oriented mindset. Preferred: - Property management experience. - Leasing or lease administration experience. - Section 8 / Housing Voucher experience. - Experience using AppFolio, LeadSimple, Salesforce, HubSpot, Buildium, Propertyware, or similar software. - Experience managing remote workflows and processes.
