Growth Opportunity Toward Virtual Office Manager
We’re Looking for a Virtual Assistant Who Loves Helping People and Staying Organized
Do you enjoy talking with people, helping solve problems, and making sure things get done?
Are you the kind of person who notices the little details, follows through on commitments, and takes pride in doing a great job?
Would you enjoy working closely with the CEO of a growing American company, learning how the business operates, and gradually taking on more responsibility?
If that sounds like you, we’d love to hear from you.
We’re Boulder Pro Painters, a residential painting company in Colorado, USA, and we’re looking for a friendly, dependable, and organized Virtual Assistant (VA) to help us take great care of our customers and keep our daily operations running smoothly.
We’re not looking for someone who already knows everything about painting or running an office. We’re looking for someone with strong communication skills, good judgment, attention to detail, and a genuine willingness to learn.
This is a long-term independent VA opportunity with the potential to grow into a Virtual Office Manager role.
A Little About Us
At Boulder Pro Painters, we help homeowners take care of and improve their homes through professional painting services.
We’re working toward becoming one of the most trusted and highly reviewed painting companies in our area. That means doing great work, communicating clearly, keeping our promises, and making sure our customers feel taken care of from their first phone call through the completion of their project.
We believe in treating people with respect, communicating honestly, taking responsibility, and building a business that supports a good life.
We’re a growing company, and we’re looking for someone who wants to grow with us.
You’ll work directly with Jonathan Ramirez, our Founder & CEO. You’ll learn how the business operates, help improve the way we serve customers, and gradually take ownership of more responsibilities as you become comfortable in the role.
What You’ll Be Doing
Your main responsibility as our Client Care & Administrative VA will be helping us provide a great customer experience while keeping our daily office activities organized.
When a homeowner calls, sends us a message, or requests an estimate, we want them to feel like they’re talking to someone who genuinely cares about helping them.
You’ll help make that happen.
Customer Care and Appointment Scheduling
Some of your regular responsibilities will include:
* Answering phone calls and responding to customer messages in a friendly, professional way.
* Returning calls to homeowners who have contacted us about painting services.
* Asking helpful questions to understand what customers need.
* Collecting basic project information and checking whether the requested work fits our services.
* Scheduling estimate appointments on Jonathan’s calendar.
* Confirming appointments and helping with cancellations or rescheduling.
* Sending appointment reminders and routine customer communications.
* Responding to customer inquiries through our website and online platforms.
* Helping homeowners understand what to expect and what happens next.
* Directing questions or concerns to Jonathan when needed.
Your first priority will always be taking care of customer inquiries and keeping appointments organized.
This is a customer service and administrative VA position, not an inside sales role. You won’t be expected to close sales, negotiate pricing, offer discounts, or make project commitments.
CRM and Administrative Support
You’ll also help us keep the business organized by:
* Entering and updating customer information in our CRM.
* Keeping customer notes, appointments, and communication records accurate.
* Maintaining Jonathan’s calendar and helping organize daily priorities.
* Organizing company files and routine administrative records.
* Sending routine customer emails and messages.
* Helping with other virtual administrative tasks as needed.
We value accuracy and follow-through. Small details matter because they help us provide a better customer experience.
Social Media Support
As you become comfortable with your main responsibilities, you’ll also help us stay active on social media.
This may include:
* Publishing company-provided or approved posts on Facebook and Instagram.
* Helping maintain our Google Business Profile.
* Responding to customer messages and comments.
* Keeping our social media accounts organized.
You won’t need to edit photos, create graphics, or edit videos.
We’ll provide or approve the content. We simply need someone dependable to help publish it according to our posting schedule.
Customer communication and appointment scheduling will always take priority.
Growing Into a Virtual Office Manager
We’re not looking for someone to handle everything on day one.
We want to find a VA who can become increasingly capable and take ownership of more responsibilities over time.
As you learn the business and demonstrate that we can depend on you, you may begin helping with:
* Customer communication after painting projects are approved.
* Routine project updates and scheduling coordination.
* Tracking customer color selections and other project details.
* Requesting customer reviews after completed projects.
* Organizing company records and administrative processes.
* Preparing simple reports.
* Improving customer communication and office systems.
* Coordinating routine office activities with greater independence.
Our long-term goal is to develop the right person into a Virtual Office Manager who can help oversee important parts of our daily administrative operations.
That growth will depend on your performance, developing skills, our business needs, and mutual agreement. It’s an opportunity rather than a guaranteed promotion.
What We’re Looking For
You don’t need years of experience or a long list of impressive job titles.
What matters most to us is how you communicate, how dependable you are, and whether you’re willing to learn and take responsibility for your work.
We think you’ll do well here if you:
* Enjoy helping people and making customers feel comfortable.
* Speak and write English clearly and confidently.
* Feel comfortable talking with customers in the United States on the phone.
* Are friendly, patient, and professional.
* Stay organized and pay close attention to details.
* Follow through without needing constant reminders.
* Ask questions when you’re unsure about something.
* Take responsibility for mistakes and work to correct them.
* Enjoy learning new systems and improving the way things are done.
* Can manage several responsibilities without losing track of important details.
* Are comfortable receiving feedback and practicing new skills.
* Want a stable, long-term VA opportunity where you can grow.
* Can reliably work during our required Mountain Time customer coverage hours.
You’ll also need a dependable computer, high-speed internet, a professional headset, a quiet workspace, and a reasonable backup plan if your power or internet goes out.
Previous experience as a Virtual Assistant, customer service representative, appointment scheduler, or administrative assistant is helpful but not required.
If you’ve used Google Workspace, GoHighLevel, other CRM systems, or social media business accounts, that’s a plus.
We’re happy to train someone who has the right attitude, communication skills, and willingness to learn.
Your First 30 Days
We want to give you a fair opportunity to learn the role and become comfortable with our systems.
You’ll begin with a paid 30-day onboarding period of approximately 20 hours per week.
During that time, we’ll focus on helping you:
1. Learn how Boulder Pro Painters serves its customers.
2. Become comfortable answering calls and handling inquiries.
3. Schedule and confirm appointments accurately.
4. Keep customer records organized and up to date.
5. Communicate clearly and follow our established processes.
We’ll evaluate progress based on the quality of your customer conversations, timely responses, accurate scheduling, dependable communication, and CRM accuracy.
You’ll receive guidance, opportunities to practice, and regular feedback.
We don’t expect perfection on day one. We do expect you to be engaged, dependable, willing to ask questions, and committed to improving.
As you become more confident and capable, we’ll gradually introduce additional responsibilities.
Schedule and Compensation
This is a 100% remote independent Virtual Assistant opportunity, open to qualified applicants worldwide.
Starting compensation: $6 USD per hour.
Here’s how we expect the opportunity to develop:
* First 30 days: Paid onboarding, approximately 20 hours per week.
* Initial schedule: Monday through Friday, generally 8:00 a.m. to 12:00 p.m. Mountain Time (Denver, Colorado, USA).
* Within approximately 30 to 60 days: The opportunity to increase to 30 to 40 hours per week as you complete onboarding and take on more responsibilities.
* Expanded schedule: Monday through Friday, approximately 8:00 a.m. to 5:00 p.m. Mountain Time, including a one-hour unpaid meal break.
* Payment: Twice per month.
* 90-day review: We’ll formally review your performance and compensation. Strong performers may receive an increase to $7 USD per hour.
* Additional annual compensation: We intend to provide a prorated annual contractual payment based on regular compensation and time worked during the calendar year.
* Paid time off: Contractually agreed paid time off will be available after successfully completing the first 90 days.
* Growth opportunities: Additional responsibilities, increased compensation, and the potential to grow into a Virtual Office Manager role.
Because we serve customers in Colorado, you’ll need to be available during our Mountain Time business hours.
Depending on where you live, these hours may be during the day, evening, or overnight.
Please note that Mountain Time changes seasonally for daylight saving time, so your local working hours may shift during the year.
The final engagement terms, including compensation, additional payments, and time off, will be outlined in a written independent contractor service agreement, subject to applicable requirements.
What It’s Like Working With Us
We’re a small, growing business, which means your work will make a real difference.
You’ll be working closely with Jonathan, learning how the company operates, and helping create the systems and customer experience we want Boulder Pro Painters to be known for.
We believe in clear expectations, honest feedback, mutual respect, and giving people the opportunity to take ownership of their work.
You won’t be expected to figure everything out on your own, but we will expect you to be proactive, communicate openly, and follow through.
We want someone who can grow with us, not someone who is simply looking for a few weeks of work.
If you’re dependable, curious, organized, and genuinely care about helping people, this could be a great opportunity.
What Happens Next?
Candidates who move forward may be invited to a live interview and a short practice customer phone conversation.
We’re interested in hearing how naturally you communicate, how well you listen, and how you approach helping customers.
You don’t need painting industry experience to do well.
We’re hoping to find the right VA within the next two to four weeks.
If this sounds like the kind of opportunity you’ve been looking for, we’d love to learn more about you.
Best,
Jonathan Ramirez
