Our client is seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive support to the CEO and executive leadership team. This individual will play a critical role in ensuring the smooth operation of executive activities, managing competing priorities, facilitating communication, and supporting strategic business initiatives.The ideal candidate is an exceptional communicator, highly detail-oriented, and capable of managing confidential information while operating effectively in a fast-paced, dynamic environment.Position SummaryThe Executive Assistant will serve as a trusted partner to the CEO, providing executive-level administrative support, managing schedules and travel, coordinating meetings, facilitating communications, and ensuring operational efficiency across a variety of business activities.This role requires exceptional organizational skills, strong judgment, and the ability to anticipate needs while managing multiple priorities simultaneously.Key ResponsibilitiesExecutive Support & AdministrationProvide comprehensive administrative and executive support to the CEO.Serve as a primary point of contact for internal and external stakeholders on behalf of the CEO.Assess incoming requests and prioritize matters requiring executive attention.Manage the CEO's calendar, appointments, and scheduling to maximize efficiency and productivity.Prepare materials, reports, presentations, and supporting documentation in advance of meetings and executive engagements.Draft, review, and manage correspondence on behalf of the CEO as needed.Handle confidential and sensitive information with professionalism and discretion.Meeting & Event CoordinationCoordinate internal and external meetings, executive reviews, and leadership events.Schedule meeting logistics, prepare agendas, and ensure all required materials are available.Take meeting minutes and track follow-up actions when required.Organize venue bookings, accommodations, dining arrangements, and event logistics.Support executive leadership meetings and corporate initiatives.Travel & Logistics ManagementCoordinate domestic and international travel arrangements.Manage itineraries, transportation, accommodations, and travel documentation.Ensure seamless travel experiences while proactively resolving scheduling conflicts or logistical challenges.Office & Operations SupportMaintain electronic and physical filing systems.Manage administrative processes and documentation.Monitor deadlines and ensure timely completion of key deliverables.Assist with departmental and corporate administrative activities.Support special projects and personal assistance requirements as assigned.RequirementsEducationBachelor's degree preferred.Additional certifications in Business Administration, Executive Administration, or related fields are advantageous.ExperienceSignificant experience supporting C-suite executives, founders, or senior leadership teams.Experience managing complex calendars, travel arrangements, and executive communications.Experience working within fast-paced, high-growth, or global organizations preferred.Proven ability to handle confidential information with discretion and professionalism.Experience coordinating executive meetings, events, and board-level activities is highly desirable.Prior experience supporting CEOs or executive leadership teams across multiple geographies is preferred.Skills & CompetenciesExceptional organizational and time management skills.Strong written and verbal communication abilities.Excellent interpersonal and stakeholder management skills.Ability to prioritize multiple competing demands effectively.Strong attention to detail and follow-through.Proficiency with Microsoft Office Suite, calendar management tools, and business communication platforms.Ability to work independently with minimal supervision.Strong problem-solving and decision-making capabilities.High level of discretion, professionalism, and confidentiality.Personal AttributesSelf-motivated and highly dependable.Energetic, proactive, and solutions-oriented.Professional with strong executive presence.Excellent judgment and adaptability.Calm under pressure and able to thrive in a dynamic environment.Strong sense of ownership and accountability.High integrity and trustworthiness.Service-oriented mindset with a commitment to excellence.
