We are seeking a proactive and detail-oriented Legal Virtual Assistant to support a client operating a boutique law firm. This dual-role position is primarily client-facing—supporting daily legal and administrative operations—while occasionally assisting Valgorithm’s internal team on related projects.
The ideal candidate has experience with MyCase, Google Workspace, and Slack, and excels in critical thinking, task management, and proactive communication. The candidate should thrive in a fast-paced environment, adapt quickly, and consistently deliver with care, clarity, and follow-through.
Client-Specific Responsibilities
* Serve as the primary virtual assistant supporting the client in daily legal operations.
* Execute and maintain operational workflows designed by Valgorithm.
* Manage case workflows, documents, and client communications through MyCase.
* Track and update invoice records using Google Sheets and within MyCase.
* Support email triage and management: read, interpret, classify, label, and maintain an email tracker to ensure timely follow-up and task creation.
* Schedule and coordinate meetings, client calls, and court-related events using Google Calendar.
* Draft, edit, and manage legal correspondence, contracts, and templates.
* Follow up with clients and stakeholders on documentation, scheduling, and task updates.
* Ensure all legal and operational files are organized and updated in Google Drive and MyCase.
* Maintain trackers for client data, billing, and operational documentation in Google Sheets.
* Communicate proactively with the client and legal team, providing timely updates and clarifications.
* Identify process gaps or optimization opportunities and communicate them to Valgorithm for review.
* Use SOPs and documentation effectively to ensure consistent performance and process compliance.
Valgorithm-Specific Responsibilities
* Provide high-level administrative support to the CEO and VA Manager.
* Collaborate with the CEO and VA Manager on internal reporting related to the client.
* Participate in internal meetings and maintain brief documentation in project management tools or shared folders.
* Offer insights from client interactions to support process improvement or service quality initiatives.
* Adhere to processes and best practices established by Valgorithm to maintain consistency and professionalism.
* Utilize Google Workspace, Slack, and project management tools to streamline workflows.
Requirements
* Minimum of 1 year as a legal assistant, paralegal, or virtual assistant supporting legal professionals.
* Experience with MyCase or other case management/CRM tools.
* Proficiency in Google Workspace (Gmail, Sheets, Docs, Calendar, Drive) and Excel.
* Comfort using Slack for internal communication and coordination.
* Skills in critical thinking, problem-solving, resourcefulness, and task management.
* Proficiency in email triage, scheduling, invoicing, and documentation.
* Strong reliability, proactive communication, and ownership of responsibilities.
* English fluency for client communication.
Work Environment Requirements
* Dedicated computer (not shared) with at least 8GB RAM, updated security patches, and antivirus software.
* Reliable primary internet connection (minimum 20 Mbps download, 10 Mbps upload).
* Backup internet connection (pocket Wi-Fi, prepaid modem, or mobile data plan).
* Quiet workspace free from background noise.
* Licensed operating system (Windows 10 or higher, or Mac OS X v10.15.5 or higher).
30-60-90 Day Success Plan
* First 30 Days – Onboarding & Training: Learn Valgorithm’s systems, tools, and client workflows. Begin handling basic email triage, scheduling, and document organization in MyCase and Google Workspace under supervision.
* Days 31–60 – Independent Execution: Take ownership of recurring administrative tasks, including email management, scheduling, invoice tracking, and MyCase updates. Communicate proactively and manage client follow-ups with minimal oversight.
* Days 61–90 – Optimization & Ownership: Fully manage client communications, tasks, and documentation independently. Identify opportunities to streamline workflows, improve processes, and operate as a reliable, self-sufficient Legal Virtual Assistant delivering consistent results.
