★ PLEASE SUBMIT YOUR CV IN ENGLISH ★About the RoleWe are seeking a highly organized and detail-oriented Purchasing, Logistics & Compliance Coordinator to support international purchasing operations, import logistics, supplier coordination, food safety compliance, and cross-functional operational processes.This is a key hybrid role connecting multiple departments across the organization, including purchasing, logistics, freight coordination, sales support, operations, quality assurance, and accounting-related functions.The ideal candidate is analytical, proactive, highly organized, and comfortable working in a fast-paced environment involving international suppliers, freight partners, operational workflows, and customer coordination.This role is essential to ensuring seamless communication, efficient operations, and high-quality service delivery to both customers and vendors.Key ResponsibilitiesPurchasing & Procurement SupportAssist with purchase order creation, tracking, and documentationCommunicate with domestic and international suppliers regarding pricing, availability, and order statusMaintain supplier records, contracts, and product specificationsSupport inventory planning by monitoring stock levels and supplier lead timesHelp resolve discrepancies related to orders, invoices, and shipmentsSupport landed cost calculations and monitor commodity market trendsLogistics & Import CoordinationCoordinate inbound shipments with freight forwarders, customs brokers, and warehousesTrack shipments from origin to destination and provide status updates to internal teamsPrepare and organize import documentation including:Commercial invoicesPacking listsCOAsBills of ladingAssist with customs clearance processes and documentation requestsSupport issue resolution related to delays, damages, or shortagesFood Safety & Regulatory ComplianceMaintain food safety and regulatory records such as supplier approvals, COAs, and audit documentationSupport compliance with applicable food safety standards including:FDAFSMAHACCPGFSICoordinate with suppliers and internal teams to ensure compliance requirements are metSupport internal audits, customer audits, and regulatory requestsCustomer Service & Sales SupportServe as a primary point of contact for customers throughout the order processAddress customer inquiries, shipment issues, and service-related concerns professionallyKeep sales teams informed regarding PO/SO status and shipment updatesSupport customer communications and relationship management effortsClaims, Reporting & Administrative SupportHandle claims professionally and investigate operational discrepanciesMaintain organized digital filing systems and operational recordsPrepare reports, spreadsheets, and summaries for management teamsSupport cross-functional communication between purchasing, logistics, sales, quality, accounting, and operations teamsAssist with administrative tasks to improve workflow efficiencyRequirementsExperience & BackgroundMinimum 2+ years of experience in:PurchasingLogisticsImport/export coordinationFood safetySupply chain operationsSimilar operational rolesPrevious experience in food ingredients, food manufacturing, or import/export industries is strongly preferredTechnical SkillsAdvanced Microsoft Excel skills, including complex spreadsheet managementFamiliarity with ERP systems and order management platformsComfortable working with operational, freight, and inventory-related dataCommunication & Interpersonal SkillsExcellent written and verbal communication skills in EnglishStrong ability to write professional emails and communicate with international suppliers and customersStrong relationship-building skills with internal teams, freight partners, and vendorsAnalytical & Organizational SkillsStrong problem-solving and analytical abilitiesHighly organized with strong attention to detail and accuracyAbility to manage multiple priorities and deadlines in fast-paced environmentsCollaborative and adaptable mindset with willingness to support across departmentsWhat We’re Looking ForProactive and detail-oriented professionalStrong operational mindset with ownership mentalityTeam player who thrives in collaborative environmentsFlexible, resilient, and comfortable managing evolving prioritiesCustomer-focused with strong follow-through and communication skillsWhy Join Us?Opportunity to work in a global and fast-paced operational environmentExposure to international purchasing, logistics, and compliance operationsCollaborative and supportive cross-functional team cultureLong-term career growth opportunities within operations and supply chain managementHigh-impact role with visibility across multiple business functionsImportant NotesStrong English communication skills are requiredCandidates with international logistics and food industry experience will be strongly prioritizedExperience working with ERP systems and operational workflows is highly preferredThis is a remote/telecommute position.
