Requirements and responsibilities


The Operations & Workflow Coordinator will work closely with our property management team to streamline internal processes, improve backend efficiencies, and support the smooth execution of daily property management tasks. This person will serve as a key operational resource — identifying workflow gaps, optimizing communication channels, and leveraging technology platforms to keep the team running at its best. Responsibilities: - Support and improve backend workflows for day-to-day property management operations. - Administer and optimize Slack workspaces, channels, and third-party integrations/plugins to facilitate team communication. - Assist in the management and maintenance of property data, work orders, and resident records within Buildium (or similar platforms). - Identify process inefficiencies and propose and implement solutions to streamline operations. - Coordinate internally with leasing, maintenance, and accounting teams to ensure seamless information flow. - Assist with onboarding of new properties and residents, ensuring all documentation and workflows are properly set up. - Track and follow up on outstanding tasks, maintenance requests, and vendor communications. - Help create and maintain internal SOPs (Standard Operating Procedures) and workflow documentation. - Provide general administrative support to the property management team as needed. Required: - Prior experience in property management, real estate operations, or a related administrative role. - Proficiency with Slack and its ecosystem of plugins and integrations (Slack Connect, bots, automation workflows, etc.). - Strong organizational skills with a demonstrated ability to manage multiple priorities simultaneously. - Excellent written and verbal communication skills in English. - Tech-savvy with a comfort level learning and adapting to new software platforms. - Attention to detail and a proactive, problem-solving mindset. Preferred: - Experience with Buildium property management software is a strong plus. - Bilingual in English and Spanish — highly valued given our Miami market. - Familiarity with multifamily residential property operations. - Experience with project management or productivity tools (e.g., Asana, Notion, Monday.com).
