About the Role
We are a rapidly growing services company looking for a detail-oriented, reliable full-time Bookkeeper / Accounting Analyst to own the daily transactional accounting and reporting support that keeps our finance function running smoothly. This is an internal-facing role. You will work with our billing team, fractional CFO, and sales and operations teams.
You will be responsible for entering invoices and expenses, maintaining clean books in QuickBooks, preparing reconciliations, and pulling data and reports that our CFO and internal teams rely on for decision-making. Your accuracy and consistency directly impacts every financial decision we make.
Key Responsibilities
Journal Entries & Transaction Processing
- Record daily and weekly company expenses, credit card transactions, and vendor bills.
- Prepare and post journal entries as directed by the CFO & Billing Team.
- Ensure all transactions are properly categorized, coded to the correct accounts and classes, and posted in the correct period.
- Process vendor payments and maintain organized AP records.
Reconciliation & Data Integrity
- Reconcile bank accounts, credit cards, and key balance sheet accounts on a regular cadence.
- Maintain accurate accounts receivable records and aging reports.
- Monitor outstanding balances and notify the Controller and sales team of overdue receivables so they can take action.
- Identify and flag discrepancies, coding errors, or unusual transactions for the Controller to review.
- Help maintain and organize digital filing of financial documents and supporting records for internal documentation.
Reporting & Analysis Support
- Pull data and generate reports from QuickBooks as requested by the CFO, Controller, and internal teams.
- Assist in preparing monthly financial reports, dashboards, and supporting schedules for the month-end close.
- Compile data for project-level and client-level profitability analysis.
- Support ad hoc data requests from sales, operations, and leadership teams.
- Help build and maintain recurring report templates to streamline the reporting process.
Who You Are
- 3+ years of bookkeeping or accounting experience, ideally in a service-based business.
- Strong proficiency with QuickBooks (Online or Enterprise) — comfortable navigating, entering transactions, and pulling reports.
- Solid understanding of accounting fundamentals: debits and credits, accrual vs. cash basis, account coding, and chart of accounts structure.
- Highly organized and detail-oriented — you catch errors before they become problems and take pride in clean, accurate data.
- Comfortable working with high transaction volumes consistently and accurately on a daily basis.
- Strong Excel or Google Sheets skills — able to organize data, build basic formulas, and format reports for internal stakeholders.
- Self-motivated and disciplined working remotely — you manage your time well, meet daily and weekly deadlines, and don’t need constant oversight.
- Strong internal communicator — you proactively flag issues to the CFO & billing team, respond to requests from the CFO and sales teams promptly, and keep people in the loop.
- Proficient - Professional written and verbal English communication skills.
Nice to Have
- Experience with AP or expense management tools (BILL, Ramp, Brex, Expensify, etc.).
- Experience working for a US-based company in a remote capacity.
- Familiarity with pulling and formatting financial data for CFO-level reporting.
- Associate or bachelor’s degree in accounting, finance, or related field.
- Experience supporting month-end close processes.
