Responsibilities

Virtual Executive Assistant Remote | Part-time (growing into full-time) 10 - 20 hours a week $15 - $25 an hour This is not a typical VA role. It’s a stewardship role. At The Academy of MotivActionⓇ (AMA), we restore human connection in high-stress professions. We work with leaders, first responders, educators, and high-stress professionals who carry real weight: emotionally, cognitively, and relationally. The systems you manage here don’t just support a business. They support humans under pressure. If you believe structure can be grounding, follow-through can be caring, and clarity can be an act of leadership - you may belong here. Who Thrives Here. You might be the right fit if: - You lead yourself before needing to be led. - You notice details and emotional tone. - You feel pride in clean systems, clear communication, and closing loops. - You stay calm when others rush. - You don’t need micromanagement, but you do value accountability. - You care about how things are done, not just that they’re done. - You need to be reliable, grounded, and thoughtful. What You’ll Be Responsible For. This role holds operational continuity across systems, events, and programs: Operations & Systems - Maintain and organize Monday.com workflows. - Send contracts, track completion, and follow up. - Set up and manage invoices and payment follow-ups. Events & Communication - Build and manage GHL text/email automations for events. - Send post-event follow-ups. - Manage calendars and scheduling blocks. - Create, document, and update the Operations Manual to ensure systems, processes, and workflows are clear, repeatable, and continuously improving. - Support live virtual events, meetings, and trainings by managing logistics and participant experience (e.g., monitoring chat, sharing links/resources, tracking questions, and ensuring smooth flow). Website & Social Support - Update website pricing and content as needed. - Reply to comments and basic engagement. Training & Program Support - Format and align slides and manuals (accuracy matters here). - Ensure ADA compliance. - Create QR codes. - Coordinate logistics with facilities. - Research hotels, restaurants, and flights. - Update training materials as needed. Masterminds, Speaking & CARES™ - Support AMA Quarterly Mastermind logistics. - Research and submit speaking applications. - Maintain CARES™ rosters, workflows, and CE submissions. Bids & Reporting - Prepare monthly reports (PCA, TIPS, etc…). - Research aligned bidding opportunities. Tools You’ll Use - GoHighLevel, Google Workspace, Monday.com, Canva, Gamma, ChatGPT, Gemini. - You don’t need to know everything on day one, but you do need to be curious, capable, and willing to learn. The Environment - Remote. - High trust, high standards. - No drama. - Meaningful work. - We move fast - but not frantically. We care deeply - but with boundaries.
