Descripción del puestoThe Scheduler manages the daily workflow and staffing of interpreting assignments in accordance with Standard Operating Procedures (SOPs). This role involves capturing key data for invoicing, monitoring ongoing assignments, maintaining clear stakeholder communication, and identifying recruitment needs for new interpreters in collaboration with HR and upper management.Key Responsibilities & DutiesPrimary Operations & StaffingReceive, reply to, and staff incoming interpreting cases in a timely manner.Assign cases to appropriate interpreters based on language requirement, specialization, and location.Oversee interpreter arrival and departure times according to client guidelines.Send confirmations and reminders to interpreters and clients.Upload case details to the platform and input accurate data for invoicing purposes.Communication & Client ServicesMaintain proactive communication with all stakeholders (clients, interpreters, internal staff).Monitor and reply to incoming emails; forward messages to appropriate departments as needed.Address and resolve vendor/client questions or assignment issues.Answer inbound call inquiries during standard shifts and on-call duty.Send requests for client reviews and feedback to support ongoing business growth.Recruitment & Process ImprovementAssist HR and management in sourcing, recruiting, and onboarding new vendor interpreters.Research tools and strategies to automate systems and enhance client service.Assist in creating training materials and instructional videos.Continuously contribute to updating SOPs to keep company processes current.AvailabilityParticipate in an on-call rotation (at least one weekend per month) to manage urgent weekend requests and phone coverage.RequisitosQualifications & RequirementsEducation & ExperienceAssociate degree (2-year college education) or Bachelor’s Degree (B.A.).At least 1 year of experience in interpretation scheduling.Language SkillsBilingualism: High-level proficiency (read, write, speak) in English.Ability to read and write in additional languages is a strong advantage.Technical SkillsHigh level of PC proficiency.Practical knowledge of:Microsoft Office: Word, ExcelGoogle Workspace: Google Drive, Gmail, DocsProject/Task Management: Trello (or similar CRM/workflow software)Document Handling: Adobe AcrobatKey Competencies & Soft SkillsMeticulous approach to data entry, scheduling, and invoicing records.Strong interpersonal skills with a helpful, professional tone across all communication channels.Proactive mindset capable of handling unexpected schedule changes calmly.High standards of honesty, discretion, and reliability.Willingness to learn internal workflows and adapt to feedback.Able to follow instructions accurately and carry out tasks within expected deadlines.Beneficios100% Remote Work: Fully remote position based out of Argentina.Part-Time Schedule: Monday to Friday, 2:00 PM – 6:00 PM EST, plus on-call duty two weekends per month.Hourly Rate in USD: Compensation paid hourly in USD.NosotrosWe are a premier Language Service Provider delivering interpreting and translation services to hospitals, medical offices, school systems, legal firms, corporate clients, and individual consumers.
