Requirements and responsibilities


The Role: - This is a part-time (20 hours/week), long-term remote position. - You will be the connective tissue between our practice's site visits and our institutional partners — keeping relationships warm, outreach moving, and internal systems current. - There is little to no patient contact in this role. - This is B2B and internally focused. Responsibilities: B2B Sales Outreach: - Work a structured outreach list of Senior Nursing Facility administrators, Community Health Center coordinators, physician office managers, and Adult Day Care Center directors. - Make calls to confirm contacts, follow up on letters and emails, and schedule site visit appointments for our Practice Manager. - Log every call outcome in CRM (currently steCRM to transition to Zoho). Institutional Liaison: - After initial contact is made, you become the ongoing point of contact for our facility partners. - Keep them updated on scheduling, progress, and next steps between site visits. - Your job is to make sure no relationship goes cold. Internal Coordination: - Maintain and update our referrer contact database in CRM. - Support direct mail and newsletter logistics. - Monitor weekly pipeline reports and flag items needing attention to the appropriate staff member. - Social media scheduling is a plus if you have that background. What We're Looking For: Required: - Bilingual English/Spanish — professional fluency in both spoken and written. - Confident, professional telephone manner — you are representing a healthcare practice to administrators and medical office staff. - At least 2 years of B2B outreach, sales coordination, or account management experience. - Experience working with U.S. clients, preferably in healthcare, medical, or professional services. - CRM experience — Zoho preferred, any platform considered. - Organized, persistent, and self-directed — you manage a call list without being reminded. Preferred: - Healthcare, healthcare management, or health informatics background. - Experience coordinating with medical offices, hospitals, or long-term care facilities. - Social media scheduling experience (Instagram, Facebook, Google Business). - Bachelor's degree in Business, Healthcare Management, or related field. Schedule & Compensation: - 20 hours/week, Monday–Friday. - Fixed daily schedule preferred — mornings Eastern time strongly preferred. - Long-term engagement; start date on or after July 28, 2026. In operation for more than 20 years, we operate multiple clinic locations and are actively expanding into skilled nursing facilities (SNFs), adult day care centers, and federally qualified health centers (FQHCs). - We are a small, expert clinical team with back-office support by international virtual assistants, all nurses - most with long tenure with our practice. We need a sharp, organized coordinator to drive our institutional sales outreach and keep our growing network of facility partners informed and engaged.
