Requirements and responsibilities


Requirements: - Full fluency in spoken and written English and Spanish. - Prior front office experience in a medical, dental, legal, or insurance setting. - Billing and invoicing experience: creating invoices, tracking receivables, following up on unpaid balances. - Proven reliability and consistent attendance. - Meticulous, accurate note-taking. - Quiet dedicated workspace, wired internet (25 Mbps+), headset. - Full workday availability overlapping U.S. Central Time. Preferred: - Personal injury billing experience: letters of protection, medical liens, attorney invoicing, PIP/med-pay, workers' compensation. - Experience handling PHI under HIPAA. - Familiarity with EHR or practice management software. - Prior experience in a mental health or psychology practice. Responsibilities: - Answer inbound calls in English and Spanish. - Make outbound appointment reminder and confirmation calls. - Schedule, reschedule, and manage the evaluation calendar. - Follow up on no-shows and cancellations. - Send, track, and follow up on patient intake paperwork. - Verify completeness of patient intake paperwork before appointments. - Collect and organize patient injury history and prior treatment records. - Manage email correspondence with patients, attorneys' offices, paralegals, and insurance representatives. - Prepare and send invoices to attorneys, patients, and insurers. - Track outstanding balances and follow up on unpaid accounts. - Maintain detailed, accurate, timestamped notes on all patient and case interactions. - Keep scheduling systems and patient files current and accurate.
